Legal Billing Specialist LBBK is seeking an experienced Legal Billing Specialist to join our accounting team. The ideal candidate is highly organized, detail-oriented, and experienced in high-volume legal billing environments, particularly within litigation and insurance defense. This role will be responsible for managing the full billing cycle, ensuring compliance with client and carrier billing guidelines, supporting attorneys with billing revisions, and maintaining strong communication with clients and internal teams. The ideal candidate thrives in a fast-paced environment and takes pride in accuracy, responsiveness, and proactive problem-solving. Responsibilities Prepare, review, revise, process, and finalize monthly prebills and invoices Support new matter intake process and coordinate case creation in firm systems Manage the appeals process for client deductions, including compiling and distributing reports to attorney staff, collecting appeal response language to challenge deductions, and ensuring timely submission in accordance with client deadlines Distribute prebills to attorneys for review and implement requested edits Assist with vendor invoice management and processing Resolve billing discrepancies, rejected invoices, and payment issues in coordination with attorneys, clients, accounting teams, and third-party payers Apply incoming payments accurately and maintain organized financial records Monitor accounts receivable and proactively follow up on outstanding balances Assist attorneys with time entry corrections and billing adjustments Prepare client account analyses, billing reports, pivot tables, and supporting documentation as needed Maintain accurate billing records while ensuring confidentiality and professionalism Serve as a liaison between attorneys, clients, vendors, and accounting departments Provide exceptional customer service and proactive communication internally and externally Qualifications Minimum 5+ years of legal billing experience required Prior law firm and/or insurance defense billing experience strongly preferred Strong understanding of insurance carrier billing guidelines and compliance requirements Experience with Coyote, Aderant, Elite, or similar legal billing/accounting software Strong familiarity with electronic billing platforms including TyMetrix, CounselLink, Legal Tracker, Serengeti, Collaborati, or similar systems Advanced proficiency in Microsoft Office, particularly Excel, including formulas, reporting, and pivot tables Ability to manage multiple deadlines and produce high-quality work in a fast-paced environment Self-motivated with the ability to anticipate needs and work independently with minimal supervision Exemplary customer service mindset and professional demeanor Associate or bachelor's degree in accounting, finance, or related field preferred Compensation & Benefits $30-$40/hour DOE Competitive benefits package Long-term growth opportunities within a growing California law firm Collaborative and supportive team environment We are looking for someone who takes pride in their work, communicates proactively, and wants to be part of a firm that values professionalism, teamwork, and long-term success.Similar jobs in Poway, CA
