In this vital role, you will manage the billing process, ensuring accurate and timely invoicing for our clients. Your organizational skills and proficiency with office management tools will help streamline financial operations and support our commitment to exceptional customer service. This position offers an exciting opportunity to develop your administrative expertise while contributing to a fast-paced, professional environment. Duties Prepare, review, and send invoices using accounting software such as QuickBooks, ensuring accuracy and completeness Maintain organized records of billing transactions, receipts, and client accounts through meticulous filing and data entry Verify billing details against service records and resolve discrepancies promptly Handle incoming calls via multi-line phone systems, providing excellent customer support and clarifying billing inquiries Assist with front desk responsibilities, including greeting visitors and managing appointment schedules with calendar management tools Support office management tasks such as proofreading documents, managing correspondence, and organizing files Collaborate with other departments to ensure timely data entry, record updates, and compliance with company policies Experience Proven office experience with a strong background in clerical tasks and administrative support Prior experience in billing or bookkeeping is highly desirable Familiarity with QuickBooks or similar for data entry Proficiency in Microsoft Office (Word, Excel), and general computer literacy Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Demonstrated phone etiquette and customer service skills, especially in handling inquiries via multi-line phone systems or as a dental or medical receptionist Experience with office management duties such as filing, proofreading documents, calendar management, and time management techniques We value proactive individuals who thrive in a fast pace environment.
