Billing Coordinator

Our client is seeking a detail-oriented and experienced Senior Billing Coordinator to support the accurate and timely preparation of client invoices within a fast-paced law firm environment. This role requires strong technical billing expertise, excellent communication skills, and the ability to manage multiple priorities while maintaining a high level of accuracy and client service.

Responsibilities:

Prepare, edit, and finalize complex client invoices, including pre-bills, write-offs, and adjustments Ensure compliance with Outside Counsel Guidelines and firm billing policies Manage e-billing submissions and resolve any related issues Collaborate with attorneys and administrative staff to ensure timely billing cycles Review and validate time entries and billing data for accuracy Process cash receipts, wire transfers, and maintain accurate billing records Maintain rate structures and support billing-related reporting and analytics Respond to billing inquiries and provide support across the firm Assist with process improvements and special projects as needed

Qualifications:

5+ years of billing experience within a law firm environment Strong proficiency with 3E/Elite, BillStream, and similar billing platforms Experience with time entry systems (e.g., iTimekeep) and e-billing tools Knowledge of OCG compliance and complex billing structures Strong Excel and Word skills Detail-oriented with strong problem-solving and organizational abilities Ability to work independently and collaboratively in a fast-paced environment Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
