Fulfillment Hub USA www.fulfillmenthubusa.com About the Company Fulfillment Hub USA is a leading third-party logistics (3PL) provider specializing in warehousing, order fulfillment, inventory management, and distribution solutions for e-commerce, B2B, and retail clients. We provide end-to-end logistics services including receiving, storage, pick & pack, palletizing, shipping (domestic and international), and value-added services tailored to our clients' operational needs. Our focus is on operational efficiency, inventory accuracy, cost optimization, and service excellence. Position Overview We are seeking an experienced Billing Coordinator to lead and oversee the Billing Department at our Florida facility. This role is critical in ensuring accurate, contract-compliant, and timely invoicing of all warehousing, fulfillment, and logistics services. The ideal candidate must have a strong accounting background, advanced Excel skills, and proven experience within a 3PL, logistics, or warehouse environment. Proficiency in ShipHero, QuickBooks, and HubSpot is highly preferred. Key ResponsibilitiesBilling & Revenue Management Lead and manage the Billing Department in Florida.
Oversee accurate invoicing of:
Storage fees Pick & pack services Shipping (domestic and international) Receiving Palletizing and special handling Value-Added Services (VAS) Ensure timely weekly and monthly billing cycles. Generate and manage invoices through QuickBooks. Review and validate client contracts, rate cards, and pricing structures. Accounting & Reconciliation Reconcile inventory, orders, and service data between ShipHero and invoicing records. Perform revenue reconciliation and billing audits. Investigate and resolve billing discrepancies and client disputes. Implement internal controls to reduce errors and prevent revenue leakage. Collaborate with Operations and Finance during month-end closing. Prepare revenue reports and billing analytics per client. Systems & Data Management Maintain accurate financial and client records in QuickBooks. Utilize advanced Excel for data analysis, reconciliations, reporting, and billing validation. Requirements Bachelor's Degree in Accounting or related field (required). Minimum 3 years of billing and accounting experience within logistics, warehousing, distribution, freight forwarding, or 3PL environments . Proven experience managing or supervising a billing team. Strong understanding of warehouse pricing models (storage, pick/pack, pallet, VAS, etc.).
Hands-on experience with:
ShipHero (preferred) QuickBooks (preferred) HubSpot (strong plus) Advanced Excel skills (required) — including pivot tables, VLOOKUP/XLOOKUP, reconciliations, and financial analysis. Strong analytical and reconciliation skills. High level of accuracy and attention to detail. Ability to work cross-functionally with Operations and Finance. Advanced English proficiency.
