We are currently seeking a dynamic and experienced Billing Specialist to join our growing team.
Position Overview:
The Billing Specialist is responsible for managing invoicing, billing coordination, and accounts receivable activities across multiple divisions. This role plays a critical part in supporting the company's cash flow by ensuring accurate, timely billing and proactive management of receivables. The Specialist serves as a key liaison between project teams, division managers, and the Controller to ensure billing accuracy, contract compliance, and timely payment, while driving resolution of billing issues and supporting effective collection efforts. Responsibilities Prepare, review, and process invoices using various accounting software including QuickBooks, Xero, Sage, Workday, and Paychex. Manage accounts receivable by tracking payments, following up on overdue accounts, and reconciling discrepancies. Perform balance sheet reconciliations and account analysis to ensure accuracy of financial data. Maintain detailed records of billing transactions, journal entries, and account reconciliations in compliance with SOX controls. Support payroll management processes through systems like ADP, Kronos, UltiPro, and Ceridian while ensuring proper data entry and accuracy. Assist with governmental and non-profit accounting requirements, including tax filings and audit preparations. Collaborate with cross-functional teams to improve billing procedures and implement best practices in financial software such as PeopleSoft, Ceridian, or General Ledger systems. Experience Proven experience in corporate accounting or governmental accounting roles with a strong understanding of GAAP principles. Hands-on experience with various accounting software platforms including QuickBooks, Xero, Sage, Workday, ADP, Kronos, UltiPro or similar tools. Knowledge of payroll management systems such as Paychex or Ceridian is highly desirable. Familiarity with technical accounting concepts like double entry bookkeeping, journal entries, account reconciliation, and balance sheet analysis. Experience working within public accounting or non-profit organizations is a plus. Strong data entry skills including 10 key typing accuracy and attention to detail for account analysis and financial reporting. Ability to interpret financial concepts related to accounts payable/receivable, tax compliance, budgeting, credit analysis, and general ledger reconciliation.
