    • Commercial / Industrial Work Order Billing Administrator (Entry-Level) The Work Order Billing Administrator is an entry-level role within the administrative team, supporting billing operations and collaborating closely with Project Managers, Billing, Purchasing, Payroll, and Executive Management.
    This position requires a motivated, detail-oriented individual who is a strong communicator, proactive, and capable of following direction from multiple departments. As a representative of the company, you are expected to always maintain professional conduct and dress in appropriate workplace attire. This role supports our Service and Industrial teams across multiple divisions, as well as Construction Electricians who may be in the office periodically. Success in this position requires balancing individual responsibilities while contributing to a positive, team-oriented environment. The "Quality Way". Our typical workday is from 7:00 to 4:00 Monday through Friday A strong knowledge of construction and back-office administration is highly preferred, which would include but not limited to the duties listed below:
    General Responsibilities and Qualifications :
    Convert completed work orders into accurate customer invoices across multiple divisions Verify and track labor and material costs to ensure billing accuracy Process accounting cost corrections as needed Work within Accounts Receivable and Accounts Payable modules Generate and distribute invoices via customer portals and email Resolve billing discrepancies and maintain accurate AR records Strong customer service and communication skills (written and verbal) Monitor and follow up on past-due accounts Generate reports and maintain real-time tracking of open work orders Construction industry knowledge or experience is required High level of organization with the ability to track and manage multiple tasks Basic accounting knowledge and comfort working with financial data Strong data entry skills Experience with ERP/accounting systems (e.g., Trimble/Spectrum) preferred Familiarity with Procore and/or Crystal Reports preferred Proficiency in Microsoft Office, particularly Excel (including formulas and spreadsheet creation) is required High degree of accuracy and attention to detail Ability to maintain confidentiality Ability to manage multiple priorities and meet deadlines Ability to work under close supervision and/or no supervision During periods of reduced workload, this role will provide support for project administration activities, including but not limited to: Coordinating permit applications and inspection requests across multiple jurisdictions Tracking and maintaining permit documentation Managing filing and document organization Auditing and validating subcontract and purchase order data Setting up new jobs in internal systems Performing data entry as requested by Accounting Administrators This document reflects QEI's best effort to describe the essential function and qualifications of this position.
