Role Overview The Billing Coordinator is responsible for the accurate, timely, and consistent execution of all billing related functions at OneHealth, with a specific focus on employer sponsored group benefits. This role owns enrollment loading, system updates, invoice generation, monthly billing cycles, payment follow up, dispute resolution, and premium reconciliation across multiple systems for a large portfolio of small employer groups. The Billing Coordinator manages billing operations at scale, supporting hundreds of active employer clients and ensuring billing accuracy across frequent enrollment changes. This position owns billing and member workflows within the policyholder management system, including member adds, drops, terminations, qualifying life events, and demographic updates, while also maintaining accurate member reporting and billing records. This role requires prior experience working directly with employers in a group benefits environment, exceptional attention to detail, strong multitasking ability, and advanced Excel proficiency. The Billing Coordinator works extensively with spreadsheets to validate eligibility, reconcile billing discrepancies, and ensure employer invoices are accurate, defensible, and aligned with enrollment data and system records Key Responsibilities As the Billing Coordinator , you will own billing execution, accuracy, and follow through for employer sponsored group benefit plans.
Your key responsibilities include:
Employer Billing and Premium Reconciliation Manage the full employer billing lifecycle from invoice generation through reconciliation Generate and distribute accurate monthly invoices to employer groups Reconcile billed premiums against enrollment data and carrier requirements Investigate and resolve billing discrepancies, adjustments, and credits Ensure billing timelines are met consistently across all employer accounts Collections and Payment Follow Up Monitor employer accounts for missed, delayed, or partial payments Conduct payment follow up and communicate account status with employers Track payment arrangements, escalations, and resolutions Coordinate internally on at risk accounts to prevent coverage disruption Maintain clear documentation of all collection activities Have comfort talking on the phone with customers Policyholder System Ownership and Reporting Own billing workflows within the policyholder management system Ensure accurate setup and maintenance of employer billing records Oversee member level billing and enrollment reporting Support system troubleshooting and process improvements Serve as the source of truth for billing and enrollment data integrity Enrollment Updates and Data Management Process member adds, drops, terminations, and qualifying life events Update member demographic and eligibility information accurately Ensure enrollment changes are reflected correctly in billing and reporting Validate data across systems and spreadsheets Maintain clean, defensible enrollment and billing records Required Qualifications Prior experience managing billing operations for employer sponsored group benefits Demonstrated experience working directly with hundreds of small employer clients Strong understanding of group health billing, enrollment workflows, and premium reconciliation Hands on experience with policyholder, enrollment, or benefits administration systems Advanced Excel proficiency, including VLOOKUPs, pivot tables, and data validation techniques Proven ability to manage high volumes of billing activity with accuracy and consistency Strong written and verbal communication skills when working with employers Ability to manage multiple deadlines and competing priorities Comfort working in a fast paced, detail intensive environment Skills & Attributes Extremely detail oriented with a strong focus on accuracy Highly organized with disciplined follow through Strong analytical and problem solving skills Comfortable owning complex processes end to end Able to identify discrepancies and resolve issues proactively Technically proficient and quick to learn new systems Strong documentation and record keeping habits Professional and confident when communicating with employers Personal Traits Reliable, accountable, and consistent in execution Calm and methodical under pressure Self motivated with strong ownership mentality Comfortable working independently with minimal oversight Committed to producing accurate, defensible work Proud to support a high standard of service and professionalism Compensation & Benefits Base salary: $60,000 to $78,000 annually based on experience Annual performance based bonuses Full-time employment with a comprehensive benefits package including health, dental, vision, and 401(k) Paid time off and professional development opportunities Why Join Us?
