This role reviews delivery tickets for quantity, lot, and pricing accuracy; processes invoices, credits/returns, and adjustments in Feed Mill Manager (FMM/ERP); maintains customer accounts and documentation; and coordinates with Accounting, Warehouse, and Logistics to resolve discrepancies and close orders daily. This position's schedule is Monday-Friday, 8:30 am to 5:00 pm, with a 30-minute unpaid meal period, and the role reports to the General Manager.
Responsibilities:
Invoicing & Order Processing o Review delivery tickets to verify quantities, lot numbers, and pricing accuracy prior to invoicing o Process customer invoices in a timely and accurate manner using Feed Mill Manager (FMM/ERP system) o Maintain and update customer account information within the system o Upload and manage documentation within Global Search; close orders daily once invoiced o Monitor and resolve missing delivery tickets in coordination with warehouse and logistics teams o Track and maintain daily logs for product shortages and tonnage o Process customer credits, returns, and pricing adjustments as needed o Collaborate with internal departments to ensure all invoicing is current, accurate, and completed daily o Support inventory-related processes, including participation in scheduled inventory counts o Assist with system updates and process improvements as new systems are implemented Customer Service Support o Serve as backup support for customer service operations as needed o Process incoming customer orders via phone, email, and fax o Enter and update orders accurately in the FMM system o Generate and distribute order documentation to logistics and warehouse teams o Answer and route incoming phone calls; take and relay messages appropriately o Provide general product information and direct inquiries to appropriate personnel o Address customer concerns professionally and escalate issues when necessary o Greet and assist visitors in a professional manner o Enter new customer accounts into the system as needed General Administrative Support o Maintain organized records and perform electronic filing o Assist with reporting and documentation as required o Provide cross-functional support to Accounting, Customer Service, and Operations teams o Perform additional duties as assigned to support business needsRequired Skills/Abilities:
- Strong attention to detail with a high level of accuracy
- Excellent verbal and written communication skills
- Strong organizational and time management abilities
- Ability to manage multiple priorities in a fast-paced environment
- Problem-solving skills with a proactive and team-oriented approach
- Proficiency in Microsoft Office (Excel required)
- Experience with ERP systems (Feed Mill Manager or similar) preferred
Physical Requirements:
- Primarily office-based role requiring extended periods of sitting and computer use
- Occasional lifting of up to 15 pounds
Preferred Experience and Qualifications:
- High School Diploma or GED required
- Minimum of 2 years of experience in customer service, invoicing, accounting support, or a related role preferred This is a full-time non-exempt, hourly position with a competitive hourly rate and benefits package, which includes eligibility for Medical, Dental, Vision, Life, LTD, HSA, FSA, PTO, Sick, and 401(K) programs.
Pay:
