Job Description
Job Description Tharros is seeking a Billing Specialist who is looking to be a part of a growing team and make a meaningful impact while advancing their career. In this role, you will be responsible for ensuring accurate, timely, and compliant invoicing for commercial and U.S. Government customers. This role supports the full billing lifecycle, including invoice preparation, submission through government procurement portals, reconciliation, collections support, and audit readiness. The ideal candidate has strong attention to detail, a solid understanding of billing controls, and hands-on experience in GovCon and with invoicing systems such as WAWF and IPP. This position offers a hybrid work schedule with consideration for full-time remote support based on exceptional qualifications and business needs. Billing & Invoicing
- Prepare, review, and process accurate customer invoices in accordance with contract terms, pricing schedules, and company billing policies
- Ensure compliance with Federal Acquisition Regulations (FAR), contract funding limitations, and invoice submission requirements
- Submit invoices through U.S. Government billing systems, including Wide Area Workflow (WAWF) and Invoice Processing Platform (IPP)
- Validate supporting documentation such as labor reports, delivery receipts, acceptance records, and contract modifications prior to invoicing Government Contract Support
- Interpret government contracts, task orders, CLIN structures, and billing instructions to ensure proper invoicing
- Coordinate with contracts, project management, and accounting teams to resolve billing discrepancies and funding issues
- Monitor invoice status, acceptance, rejections, and payment tracking within government systems
- Respond to government customer inquiries related to invoices, payments, and corrections Reconciliation & Financial Controls
- Reconcile billed revenue to the general ledger and accounts receivable subledger
- Research and resolve invoice discrepancies, short payments, and denied invoices
- Support month-end and year-end close by providing billing reports, reconciliations, and aging analysis
- Maintain compliance with internal controls and audit standards Reporting & Process Improvement
- Prepare recurring billing and accounts receivable reports for management review
- Track key billing metrics, including days sales outstanding (DSO) and invoice accuracy rates
- Identify opportunities to improve billing accuracy, cycle time, and compliance with government requirements
- Assist with internal and external audits by providing documentation and explanations related to billing activity Requirements
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field and 3+ years of billing or accounts receivable experience, within a government contracting or regulated environment; additional years of relevant experience may be considered in lieu of a degree.
- Hands-on experience with U.S. Government invoicing systems, including WAWF and/or IPP.
- Working knowledge of government contract billing concepts (e.g., cost-reimbursable, fixed-price, T&M).
- Proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, basic formulas).
- Accuracy and strong attention to detail.
- Analytical and problem-solving skills.
- Strong written and verbal communication.
- Ability to work cross-functionally with finance, contracts, and operations.
- Effective time management and organizational skills with the ability to manage multiple deadlines. Preferred Qualifications
- Experience working in a government contractor environment
- Familiarity with FAR, DFARS, and other federal billing compliance requirements
- Experience with ERP systems (e.g., Unanet, Deltek Costpoint, SAP, Oracle, or similar)
