We are seeking a full-time, highly organized, detail-oriented, and tech-savvy Legal Administrative Assistant to assist with attorney support, day-to-day operations, and ensure the smooth functioning of the office. This position requires administrative and operational support skills combined with Legal Billing Specialist experience. The ideal candidate is a team player who is comfortable managing multiple responsibilities in a dynamic environment with a willingness to pitch in however needed. The position is primarily hybrid but during busy periods full-time presence in the office may be required.
KEY RESPONSIBILITIES
Administrative Support:
Provide administrative support for all attorneys Work with the Office Manager on all matters related to office operations and administrative functions Board meeting preparation, assistance with running board meetings, and drafting of board meeting minutes Draft, edit, proofread, redline, and format legal documents, presentations, etc. Office technology support for all attorneys Willingness to pitch in with support tasks such as pickup and distribution of office mail, depositing checks at the bank, supply orders, etc.Billing Specialist:
Assist with preparing, revising, and finalizing pre‑bills and invoices, including edits, write‑offs, and adjustments, ensuring accurate and timely billing using billing/invoicing software Assist with entering and editing timekeeper billable time entries Assist with generating and entering expense reports Assist with timekeeper and matter rate maintenance Transmittal of final invoices to clients Address client billing inquiresCORE COMPETENCIES
Excellent client service skills Positive attitude and team player Communicating effectively Ability to organize, prioritize, multi-task, meet deadlines, and exhibit attention to detail Tech-savvy with the ability to learn new software and troubleshoot technical issuesREQUIREMENTS
Minimum of 3 years legal administrative assistant experience Minimum of 3 years legal billing specialist experience Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and Zoom Advanced skills with Portable Document Format files (PDF) editor software such as Adobe Acrobat Pro Exceptional skills in writing, proofreading, editing, and formatting Strong understanding of legal billing/invoicing principles and procedures Proficiency in billing/invoicing software (e.g. BQE Core, etc.) Proficiency in file management systems such as NetDocuments Exceptionally organized with strong attention to detail and consistent follow-through Motivated with the ability to multi-task, take ownership of tasks, and work proactively and independently Strong interpersonal skills with a good attitude and ability to be a team player Willingness for role to evolve and accept new responsibilities We offer a competitive salary and an attractive benefits package including health insurance, dental insurance, life/AD&D, LTD, 401(k), and paid time off.
