Job Description:
Job Summary The Billing Operations Manager is a senior-level professional responsible for directing and enhancing all billing-related functions within the organization. This individual plays a key role in driving the accuracy, efficiency, and compliance of invoicing processes while partnering closely with leadership, attorneys, and finance teams. The position requires extensive experience managing complex billing structures, deep system expertise, and the ability to lead and develop a high-performing team. Key Responsibilities Direct and oversee the complete billing lifecycle, including preparation, review, adjustments, and issuance of client invoices Manage a wide range of billing arrangements such as hourly billing, fixed fee, capped arrangements, retainers, and alternative fee structures Ensure all billing activities adhere to client guidelines, contractual requirements, and electronic billing standards Serve as the primary point of contact for billing-related inquiries and escalations from internal stakeholders and clients Collaborate with senior leadership and attorneys to address billing challenges, improve workflow efficiency, and support revenue optimization strategies Act as the internal expert on billing systems, ensuring proper configuration, maintenance, and continuous improvement of system functionality Partner with IT and finance teams on system enhancements, testing initiatives, and integration projects Develop and maintain reporting tools to track billing performance, revenue metrics, and operational trends Monitor data accuracy across billing, timekeeping, and financial systems to ensure consistency and reliability Lead, mentor, and evaluate billing staff; provide ongoing training and establish clear performance expectations Implement standardized procedures, timelines, and quality controls to maintain billing accuracy and consistency Analyze billing activity, identify areas of risk or inefficiency, and recommend process improvements to enhance cash flow and profitability Support financial close processes by ensuring billing-related deliverables are completed accurately and on schedule Assist with audit requests, client reviews, and compliance-related reporting as needed Qualifications & Experience Extensive experience (approximately 15+ years) in billing or revenue operations within a professional services environment, including demonstrated career progression Proven expertise working within complex billing environments, including handling multiple billing formats and client requirements Advanced, hands-on experience with billing platforms such as Finance Core by SurePoint, Coyote, or Tabs strongly preferred; exposure to Tabs required if other systems are not present Strong understanding of billing compliance standards, client guidelines, and revenue cycle management Demonstrated ability to lead and develop a team, with prior supervisory or management experience required Proficiency in reporting tools, financial analysis, and advanced Excel functionality Exceptional attention to detail with the ability to manage competing priorities in a fast-paced setting Strong interpersonal and communication skills, with the ability to interact effectively with senior stakeholders and clients Professional demeanor with a collaborative, service-oriented approach Preferred Background Experience supporting large, multi-office organizations or complex operational environments Familiarity with electronic billing platforms and audit processes Bachelor's degree in Finance, Accounting, Business, or related discipline (or equivalent professional experience) Core Competencies Leadership and team development Strong client service orientation Analytical thinking and problem resolution Process improvement mindset and operational efficiency Sound judgment and discretion Ability to influence and collaborate with senior professionals Work Environment & Expectations Fast-paced environment with fluctuating workloads based on business demands Primarily desk-based work involving extended periods of sitting and computer use Occasional need to manage tight deadlines and high-volume workflows Hybrid work schedule with regular in-office attendance required
