Job Summary
The Medicaid Billing & Office Assistant is responsible for billing Medicaid, Cost Reimbursement, and Fee for Service funders to support THRIVE Center for Survivors of Torture's services. This position works closely with direct service and administrative staff to ensure proper billing and documentation of all services.

Check client eligibility and submit claims for Medicaid-eligible services
Ensure all documentation and records are stored in compliance with Medicaid and other funder requirements
Resolve disputed and rejected claims by consulting with state Medicaid administration and submitting corrected claims
Follow up on all invoices and claims not processed within the usual time period
Ensure client charts meet all Medicaid requirements; gather updates and make corrections accordingly
Identify areas where additional training and support are needed for direct service staff to meet requirements
Stay current on Medicaid changes and requirements, reporting significant changes to the Executive Director
Maintain up-to-date provider information with Medicaid networks; enroll and terminate providers as necessary

Support the Program Manager and Executive Director in submitting invoices for fee-for-service and cost reimbursement grant contracts

Financial
Upload and categorize expense receipts and invoices using accounting software; assign funders for each expense
Assist with expense allocations monthly
Prepare monthly reports of grant spend-down and budget tracking

Office Support
Participate in department and organization-wide activities, meetings, and trainings
Complete administrative responsibilities and answer and direct phone calls
Assist with supplies and general office needs on occasion
Qualifications
Required:
High school graduate or equivalent
Two or more years' experience with bookkeeping or other financial duties, preferably in a nonprofit setting
Preferred:
Valid driver's license, access to an automobile, insurance, and willingness to drive to off-site locations
Certified Professional Coder (CPC), Certified Coding Associate (CCA), or Registered Health Information Technician (RHIT)
Competencies
Proficiency in Microsoft Office and Salesforce required; QuickBooks preferred
Strong attention to detail—you often catch things others miss
Ability to work independently and prioritize tasks
Excellent communication and problem-solving skills
Experience, comfort, and sensitivity working in a multicultural environment
Must maintain confidentiality and HIPAA standards, recognize appropriate boundaries, and cope with emotionally stressful situations
Must pass a background check

Position Details
Hours:
Part-time, 20-24 hours per week
Pay Range:
$24.00-$28.00 per hour
Supervisory Responsibilities:
None
Travel:
A valid driver's license and insurance are required
Work Environment
Services are provided on-site at THRIVE offices
Hybrid schedule: up to 5 hours per week may be completed remotely for administrative tasks
Additional time away from the office is likely, including outreach events
Approximately 80% of time is spent on computer-based tasks
Physical Demands
While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to sit (at a desk for extended periods of time), stand, and walk. This position requires the ability to occasionally lift office products and supplies of up to 10 pounds.

The mission of THRIVE Center for Survivors of Torture (THRIVE) is to walk alongside survivors of torture through trauma-informed care that addresses both visible and invisible wounds. We provide integrated case support, mental health services, medical navigation, and community connections to help survivors rebuild trust, restore dignity, and thrive as part of our shared community.
At the core of torture, trust between two human beings is destroyed. Our services focus on restoring trust and helping a survivor rebuild emotional, physical, social, and spiritual bonds. Our work also aims to prevent the effects of intergenerational trauma.
THRIVE was founded in 2003 in response to the unmet needs of torture survivors in our community. Today, THRIVE is the only organization in Utah that specializes in serving torture survivors, having served over 5,000 individuals to date.
