This position is responsible for maintaining schedules, tracking audits and client transitions, supporting invoicing and finance coordination, and ensuring operational continuity across teams. The role requires strong organizational skills, attention to detail, and the ability to coordinate across multiple departments, including RCM, Credentialing, Finance, and Account Management. Core Responsibilities Audit & Schedule Management Monitor and manage RCM and management schedules related to audits and client transitions.
Maintain and update weekly:
new audit contracts, completed audits, and audits pending scheduling. Update and distribute audit report weekly to the Senior VP of Operations. Update and distribute the audits not scheduled or stale report to the Senior VP of Operations. Coordinate and distribute weekly audit schedules to Credentialing leadership to ensure meeting preparedness. Schedule audit presentations by coordinating with Account Managers, internal teams, and client stakeholders across varying schedules. Client Transitions & Project Coordination Meet weekly with the Project Manager to track audits and pre-transition clients, including portal access, readiness status, and transition requirements. Complete post-transition checklists, including adding new clients to internal tracking spreadsheets and systems. Create and complete onboarding documentation by gathering and validating information from research, Account Managers, Billing Managers, Credentialing teams, and Operations leadership. Update onboarding, offboarding, and recurring meeting templates to reflect changes communicated by management. Audit Documentation & Quality Control Edit external medical billing audits in collaboration with the Senior VP, including formatting, content accuracy, and readiness for executive review. Coordinate audit edits and revisions between billing teams, Credentialing, Operations, and leadership. Remove Protected Health Information (PHI) from audits to ensure compliance and allow Account Managers to use audits as sales examples. Financial & Contract Support Assist with reconciling client spreadsheets and tracking changes that impact service scope and invoicing. Support Finance and Invoicing teams by providing contract details, rates, and audit status required for monthly client invoicing. Operational Coverage & Support Provide coverage for RCMs during vacation or sick leave by attending client meetings and monitoring internal communication channels as needed. Ensure continuity of client communication and internal coordination during temporary RCM absences. Required Skills & Qualifications Bilingual in English/Spanish highly preferred At least three (3) years of experience in healthcare operations, medical billing and audit coordination Strong organizational and time-management skills with the ability to manage multiple workflows simultaneously High attention to detail, particularly in audit documentation and financial tracking Ability to coordinate across departments and communicate effectively with leadership and client-facing teams Proficiency in spreadsheets, tracking tools, and documentation management Understanding of HIPAA compliance and PHI handling requirements
