Job Description

Project Biller (100% Remote, CONTRACT - 2 months) Job Description The Project Biller supports a civil engineering organization by reducing aged work-in-progress (WIP) and past-due invoices through timely, accurate invoicing and proactive collections. This role reviews WIP aging reports, prepares and submits client invoices in accordance with contract terms, and works within client billing portals to ensure invoices are properly uploaded, approved, and processed. The Project Biller collaborates closely with project managers to resolve billing holds, follows up on unpaid invoices, reissues corrected billings when needed, and helps accelerate collections to improve cash flow and clear outstanding invoice backlogs. Responsibilities Review WIP aging reports regularly to identify outstanding billable work and prioritize invoicing activities. Prepare, format, and submit client invoices in accordance with contract terms, client requirements, and internal policies. Upload invoices into client and vendor billing portals, ensuring all required documentation and fields are complete and accurate. Monitor invoice status within client portals to confirm successful submission, approval, and processing. Coordinate with project managers to resolve billing holds, discrepancies, and questions related to project charges and contract terms. Reissue corrected invoices as needed to address client feedback, errors, or changes in scope. Conduct collections activities on past due balances, including follow-up communications and status tracking on outstanding invoices. Help reduce aged WIP and invoice backlogs by prioritizing older items and driving them through the billing and collection cycle. Use Excel, including pivot tables and VLOOKUP functions, to analyze billing data, track collections, and support reporting needs. Work within Deltek Vision or Deltek Vantagepoint to manage project billing details, generate invoices, and maintain accurate financial records. Collaborate with internal stakeholders to ensure timely billing, clear documentation, and alignment with revenue recognition practices. Support continuous improvement of billing and collections processes to enhance efficiency and cash flow. Essential Skills At least 3 years of project billing experience within an architecture, engineering, or construction (AEC) company with revenue over $75 million. Minimum of 3 years of experience collecting on past due balances. Minimum of 3 years of experience working within client or vendor billing portals. Demonstrated experience with billing and invoicing processes, including preparing and submitting invoices in line with contract terms. Proven experience in collections of past due accounts and managing aged receivables. Ability to work effectively within client portals to upload invoices, track approvals, and resolve issues. Proficiency in Microsoft Excel, including the ability to create and use pivot tables and VLOOKUP functions. Proficiency with Deltek Vision or Deltek Vantagepoint for project billing and financial management in an AEC environment. Background in the AEC industry with a strong understanding of project-based billing practices. Additional Skills & Qualifications Experience using Deltek Vantagepoint specifically is a strong plus. Strong attention to detail and accuracy in financial documentation and invoicing. Ability to manage multiple billing deadlines and priorities in a fast-paced, project-driven environment. Effective communication skills to collaborate with project managers and interact with clients regarding billing and collections. Comfort working independently in a remote setting while remaining responsive and accountable for results. Work Environment This is a fully remote position open to candidates in any time zone. You will work in a virtual environment, collaborating with project managers and internal stakeholders through online tools and systems. The role relies heavily on working within client and vendor billing portals, Deltek Vision or Deltek Vantagepoint, and Microsoft Excel. The position is offered as a short-term contract, with the possibility of consideration for a longer-term role if business needs arise, although this is not guaranteed. The remote setup allows flexibility in location while requiring reliable internet access and a professional home office setting.
