401(k) 401(k) matching Company parties Dental insurance Free uniforms Health insurance Paid time off Vision insurance We are seeking a detail-oriented and professional Receptionist & Collections Assistant to support front desk operations while assisting with collections, invoicing support, and general administrative duties. This role is ideal for someone who is organized, customer-focused, and comfortable working in a fast-paced office environment. Key Responsibilities Reception Duties Greet visitors and answer incoming phone calls in a professional manner. Order and stock office supplies as needed and report office maintenance issues. Maintain office organization and cleanliness, including ordering lunches for meetings as needed. Perform general administrative duties, including distributing mail and filing. Collections Duties o Manage customer collections, follow up on past-due accounts, and mail monthly statements. o Analyze account issues, identify root causes, and support timely resolution. o Reduce days sales outstanding and average days to pay. o Provide backup support for invoice entries and prepare credit or refund requests. Qualifications o Five years of office, collections, or accounting experience required. o Strong working knowledge of Microsoft Office, especially Excel, Word, and Outlook. o Experience with QuickBooks and Simpro is a plus, or the ability to learn new systems quickly. o Excellent written and verbal communication skills. o Strong attention to detail, accuracy, organization, and time management. o Demonstrated professionalism and the ability to interact effectively with internal and external customers. o Ability to manage multiple priorities and follow through on tasks o Customer-focused, adaptable, dependable, and team-oriented. o Ability to maintain confidentiality of sensitive financial information. o Must be able to pass required background and drug/alcohol screening, if applicable. Physical Requirements and Work Environment This position requires prolonged sitting, frequent use of a computer, keyboard, mouse, and calculator, and regular communication with employees and customers. Occasional standing, walking, reaching, bending, and lifting of materials up to 25 pounds may be required. The role is performed primarily in a standard indoor office environment with moderate noise levels.
