Job Description
This position is responsible for ensuring accurate and timely billing for industrial and refinery services while supporting project controls, revenue integrity, and operational reporting. The Billing Coordinator serves as a liaison between operations, accounting systems, branch locations, collections, corporate billing, subcontractors, and refinery audit teams. Key Responsibilities Reconcile daily TRACK system time records for GFL personnel and subcontractors, resolve discrepancies, and validate cost codes and PO allocations. Prepare billing backups and verify compliance with T&M, Lump Sum, and Unit Rate contract terms and rates. Produce accurate and timely invoices for industrial, commercial, temporary, and refinery services. Maintain daily headcount and fatigue management logs. Support audits, revenue recognition, SOX documentation, and revenue leakage tracking. Generate billing metrics, revenue analysis, queries, and management reports. Coordinate with operations, collections, refinery audit teams, vendors, and corporate departments on billing and reporting issues. Maintain billing, reporting, and data integrity processes in compliance with company standards and policies. Perform additional duties as assigned. Required Qualifications 2-3 years of experience in industrial billing, accounting, or project controls in a refinery, petrochemical, or heavy industrial environment. Proficiency with TRACK (Management Controls). Advanced Microsoft Excel skills, including vlookups and pivot tables. Strong analytical, mathematical, organizational, and problem-solving skills. High attention to detail with the ability to meet deadlines and work independently. Strong verbal and written communication skills. Preferred Qualifications Experience with Marathon Petroleum or similar Gulf Coast refinery facilities. Familiarity with T&M, Lump Sum, and Unit Rate contracts. Associate degree in Accounting, Computer Science, Business, or related field. Experience with billing systems, reporting, and data integrity processes. Proficiency in Microsoft Office applications including Excel, Word, Outlook, Access, and Project. #GFLTalent
