Minimum 5 Years of Law Firm Billing Experience About Fox & Moghul Fox & Moghul is one of the fastest-growing law firms in Virginia, serving clients throughout Virginia and Maryland in business litigation, real estate litigation, construction disputes, landlord-tenant matters, estate planning, and business transactions. We are seeking an experienced Billing Supervisor to take ownership of the firm's billing operations, accounts receivable management, trust accounting compliance, and financial reporting. This is a highly visible role that works directly with firm leadership and plays a critical part in the firm's revenue collection and client experience. Position Overview The Billing Supervisor is responsible for managing the firm's complete billing cycle, trust accounting administration, accounts receivable reporting, retainer replenishment processes, client billing communications, and vendor expense coordination. This position requires a detail-oriented professional who can manage multiple recurring deadlines simultaneously while maintaining excellent client service and strict compliance with Virginia trust accounting requirements. Key ResponsibilitiesWeekly Client Billing Prepare, review, and distribute all client invoices on a weekly basis Coordinate with attorneys to obtain timely pre-bill approvals Deliver invoices through email, mail, and e-billing platforms Ensure all billing deadlines are met consistently and accurately Accounts Receivable Management Monitor outstanding balances and past-due accounts Contact clients regarding unpaid invoices and payment arrangements Document all client communications and follow-up activities Maintain accountability for collections efforts and payment commitments Retainer & Trust Accounting Administration Receive and process client retainer payments Apply funds accurately to client matters Maintain compliance with Virginia IOLTA trust accounting requirements Reconcile trust balances and identify replenishment needs proactively Accounts Receivable Reporting Maintain an accurate accounts receivable ledger Produce weekly AR aging reports Identify collection risks and recommend action plans Present AR reports and updates to firm leadership every Monday Escrow & Retainer Replenishment Reporting Monitor retainer balances across active matters Produce weekly escrow replenishment reports Coordinate replenishment outreach before balances become critical Partner with attorneys and intake staff to prevent billing interruptions New Matter Financial Tracking Track all newly retained matters each week Confirm retainer collection and matter setup Deliver weekly retained-case reporting to firm leadership Ensure new matters are billing-ready before first invoice cycles Client Billing Issue Resolution Serve as the primary point of contact for billing inquiries Investigate billing questions and payment disputes Resolve routine concerns independently Escalate complex issues with written summaries and recommendations Vendor Invoice & Expense Management Process invoices from court reporters, experts, process servers, and other vendors Verify proper matter assignment and coding Coordinate vendor payments Ensure all billable expenses are passed through to clients appropriately Required Qualifications Minimum 5 years of billing experience in a law firm Experience working in a weekly or accelerated billing cycle Comfortable making outbound client calls regarding balances and retainer replenishments Working knowledge of Virginia IOLTA trust accounting requirements Experience with Clio or a comparable legal billing and practice management platform Strong organizational and time-management skills Excellent written and verbal communication abilities Intermediate to advanced Microsoft Excel skills Ability to manage multiple deadlines simultaneously with minimal supervision Preferred Qualifications Bachelor's degree in Accounting, Finance, Business Administration, or related field Clio Certified User designation Experience with e-billing platforms such as Legal Tracker, CounselLink, or TyMetrix Experience processing litigation vendor invoices and expense reimbursements Prior supervisory or team leadership experience Who Thrives in This Role?
