Pinchbeck, PC, a boutique trusts and estates firm located in the City of Richmond, is seeking a full-time billing assistant. This role involves ensuring accurate client invoicing, payment processing, trust account recordkeeping, and financial data entry while maintaining excellent client service and confidentiality. Key Responsibilities Prepare, review, and distribute client invoices for estate planning, probate, and trust administration matters. Enter and maintain billing data within the firm's practice management and accounting systems. Monitor attorney time entries and expense records to ensure accurate invoicing. Process client payments received by check, credit card, ACH, and other payment methods. Assist with accounts receivable management, including payment tracking and follow-up on outstanding balances. Maintain accurate records of client retainers and trust account transactions in accordance with applicable regulations. Reconcile billing records and assist with monthly financial reporting. Respond professionally to client billing inquiries and resolve discrepancies. Generate billing reports for attorneys and firm management. Assist with collections efforts while maintaining positive client relationships. Ensure confidentiality of client information and financial records. Perform other administrative and accounting duties as assigned.
Qualifications Required:
1-3 years of billing, bookkeeping, accounting, or law firm administrative experience. Financial recordkeeping and data entry Proficiency with Microsoft Office, particularly Excel and Outlook. Strong attention to detail and accuracy. Excellent organizational and time-management skills. Strong written and verbal communication skills. Ability to handle sensitive and confidential information.
Preferred:
Experience in a law firm, estate planning practice, or professional services environment. Familiarity with legal billing software and practice management systems. Knowledge of trust accounting procedures and legal billing practices. Associate degree in accounting, business administration, or a related field.
Pay:
$40,000.00 - $50,000.00 per year
