Job Description

Dental 360 is looking for a Billing coordinator for our WI offices! The Billing Coordinator plays a key role in ensuring accurate, timely insurance billing and collections across a multi-site environment. This role requires hands-on experience with Medicaid and PPO fee-for-service billing , strong attention to detail, and the ability to manage accounts receivable in a fast-paced, high-volume setting.
Key Responsibilities:
Claims Submission & Processing Prepare, review, and submit accurate dental claims (electronic and paper) to Medicaid and PPO payers Ensure claims include proper documentation, narratives, and coding (CDT) to support reimbursement Maintain compliance with payer-specific requirements and timely filing limits Accounts Receivable & Follow-Up Actively manage insurance AR, including follow-up on outstanding claims (30/60/90+ days) Investigate and resolve unpaid, denied, or underpaid claims Escalate complex or recurring issues impacting collections Payment Posting & Reconciliation Accurately post insurance payments, adjustments, and write-offs Reconcile EOBs/ERAs with claims submitted and identify discrepancies Ensure correct application of contracted fee schedules Prior Authorizations Submit and track prior authorizations for Medicaid and PPO plans Ensure approvals are obtained and documented prior to treatment when required Communicate authorization status to clinical and front office teams Denials Management Analyze and resolve claim denials, including resubmissions and appeals Identify root causes and trends (coding, eligibility, documentation, etc.) Partner with leadership to reduce denial rates over time Cross-Functional Collaboration Communicate regularly with providers, office staff, and leadership to resolve billing issues Support front office teams with eligibility, coverage, and documentation questions Assist in onboarding new practices and standardizing billing processes Customer Support Respond to patient and staff billing inquiries in a timely, professional manner Provide clear explanations of insurance coverage, balances, and next steps Documentation & Compliance Maintain accurate records of all billing activity and follow-up actions Ensure compliance with Medicaid regulations and payer policies QualificationsRequired 2+ years of dental billing experience Direct experience with Medicaid and PPO dental insurance billing preferred Strong understanding of CDT coding, EOBs/ERAs, and insurance workflows Experience managing accounts receivable and claim follow-up Familiarity with dental practice management systems; Dentrix ascend preferred High attention to detail and strong organizational skills Preferred Experience in a multi-location practice or DSO environment Exposure to centralized billing or shared services models Working knowledge of revenue cycle KPIs (AR days, collections %, denial rates) Intermediate Excel skills
