Role Overview:
We are seeking an experienced and detail-oriented Collection Manager to oversee delinquent homeowner accounts, manage the collections process for multiple homeowners' associations (HOAs), and support property sales closings and ownership transfers. The ideal candidate will have strong communication, negotiation, and organizational skills, with a solid understanding of HOA governing documents, assessment collections, closing coordination, and compliance requirements.
Requirements Key Responsibilities:
Manage delinquent homeowner accounts and oversee the collections process from initial notices through legal escalation. Communicate professionally with homeowners regarding past-due balances, payment arrangements, and account status. Coordinate with attorneys, management teams, and board members regarding collection actions, liens, and foreclosure processes. Review aging reports and maintain accurate account records. Monitor compliance with state laws, HOA governing documents, and company policies related to collections. Negotiate payment plans and document agreements. Prepare and present collection status reports to HOA boards and leadership. Work closely with accounting departments to reconcile accounts and payments. Ensure timely processing of notices, demand letters, and legal documentation. Respond to homeowner inquiries and disputes in a professional and timely manner. Coordinate aspects of property sales closings and deed transfers as needed. Prepare and process resale certificates in accordance with association and company requirements. Communicate with title and tax companies regarding closings, payoffs, and ownership transfers. Set up new owner accounts and coordinate utility setup information for incoming buyers. Process utility or maintenance refunds due to sellers and respond to realtor, lender, and appraisal inquiries. Track and update owner occupancy and inspection information for quarterly management reports.
Qualifications:
Minimum of 1 year of collections experience, preferably in HOA, property management, real estate, or related industries. Previous experience in real estate closings, escrow, title, or administrative coordination preferred. Knowledge of HOA assessment collections, liens, and foreclosure procedures preferred. Strong understanding of Fair Debt Collection Practices and applicable state regulations. Excellent verbal and written communication skills. Strong attention to detail and organizational abilities. Ability to manage sensitive situations with professionalism and discretion. Proficiency in Microsoft Office Suite; Vantaca HOA software experience a plus. High school diploma or equivalent required.
