Job Summary:
The Data Services Associate plays a critical role in ensuring the accuracy, timeliness, and quality of client deliverables across multiple operational functions, including verification, ICL processing, and reporting. While each team member may have a primary focus area, all associates will be cross-trained to assist in other areas as needed to support workload fluctuations, maintain service levels, and foster a flexible, collaborative team environment. This position works closely with Account Managers, Operations personnel, and IT/Data Services leadership to ensure processes run smoothly and client expectations are met.
Supervisory Responsibilities:
None Duties/Responsibilities:
Verification & Balancing:
Verify ICL releases and ensure all balances are correct before deposits and reports are sent to banks and clients. Audit checks for accuracy and reporting compliance. Print and deliver cash checks for processing and balancing.
ICL Processing & File Management:
Coordinate with Production on batch release schedules. Assist with batch balancing, releasing approved batches, and sending files to the appropriate financial institutions. Send other client-required files as needed.
Reporting & Data Integrity:
Generate and deliver daily, weekly, monthly, and special reports according to client-specific requirements. Perform CRM balancing and investigate discrepancies (e.g., dropped records), ensuring corrections are processed accurately. Work with multiple systems (AS400, CRM, Aegis Export, SharePoint) and follow client-specific processes.
Cross-Functional Support:
Assist in scanline approvals as needed. Provide backup coverage for other team members' duties during peak workloads, absences, or special projects.
General Responsibilities:
Communicate effectively with internal teams and clients to resolve issues and provide exceptional service. Perform other duties as assigned.
Physical & Scheduling Requirements:
Ability to work overtime, including Saturdays, during periods of mail fluctuations or peak workload. Ability to be present and available at the scheduled times and locations as outlined in the work schedule. Ability to maneuver between departments (100-600 feet) approximately 20% of the time. Ability to remain at a desk or workstation for up to 80% of the time. Ability to lift up to 10 lbs.
Required Skills/Abilities:
Strong organizational skills and attention to detail. Ability to multitask, prioritize, and adapt to changing needs. Dependability and ability to work under pressure. Strong problem-solving skills and willingness to take initiative. Effective verbal and written communication skills. Professional phone and email etiquette. Proficiency with Microsoft Office; experience with reporting tools preferred. Customer service mindset and desire to work as a collaborative team player.
Education and Experience:
Proven work experience in reporting, auditing, ICL processing, IT operations, or related fields. Hands-on experience with data systems, file transfers, and reporting processes. Experience with AS400, Unibase, Formware, ItemAge Classic, Item Age Express, CRM and/or other client/data systems is a plus.
