Job Summary:
Provide sales & inter-departmental support by updating and monitoring equipment inventory. Processing, reviewing, assessing & submitting claims with accuracy/completeness, watching to assure claims have been paid and posted. Pinning/registering machines, providing warranty quotes, enrolling equipment into warranty, monitoring BOT notifications, providing accurate and timely reports. Maintain accurate records for documenting claims, warranty, programs & training materials. Gather information from various sources to assist in resolving any audit information that is needed. Help to ensure all internal accounts balance & investigate any discrepancies to provide support to other departments as needed. Other duties as assigned by Sales Administration Manager.
Responsibilities:
Inventory:
Update machine/attachments status in system, including setup of attachments that were removed from machine, updating description Transfer attachments to and from machines Monitor S/N mismatches report and make corrections
Delivery/Warranty:
Register machine delivery dates and enroll machines in EPP programs with Cat Monitor sold machines for timely receipt of delivery and warranty documents Monitor rental/rent to own for "in the dirt" for the registering and enrolling Maintain warranty codes and monitor reports for accurate enrollments BOT Monitoring/true ups Monitor warranty bots & settlements from CAT Monitor true ups on internal accounts to make sure they balance Claims/Reporting Submit claims to Cat for machine sales Verify receipt of RSA deposit/credit memos from Cat Submit & gather any necessary paperwork for audits Help Office Managers to verify credit & programs on sales paperwork Help maintain reports, claim sheets, pin reports, work toll & warranty reports All other duties as assigned
Requirements:
Required Qualifications:
High School Diploma or GED Preferred, associate's degree or higher Preferred Experience Previous sales coordination experience Heavy duty equipment environment
Required Knowledge, Skills and Abilities:
Strong Microsoft Office skills, especially Excel Interdepartmental Customer Service Skills, and process & report information quickly Attention to detail & analyzing data Multitasking, Fast Learning Ability to verify & analyze data for accuracy Verbal and written communication skills
