This position serves as the primary steward of student enrollment data, intake documentation, and admissions workflows, ensuring accuracy, timeliness, and compliance data management and reporting across agency approved systems, platforms, and tools. The role directly supports campus leadership by maintaining data integrity that impacts funding, staffing, reporting, and services delivery, while serving as a key liaison to families, community partners, and internal teams.
Job Responsibilities:
Serve as the primary point of contact for families during intake and enrollment, providing clear communication, timely support, and a positive experience. Assist with targeted community awareness outreach and enrollment recruitment events in collaboration with campus and marketing teams. Manage the full enrollment and intake lifecycle using agency-approved systems, platforms, and tools, ensuring accurate student status from inquiry through enrollment and ongoing compliance by adhering to defined standard operating procedures. Support campus enrollment targets through timely management of inquiries in SchoolMint Connect, application/registration in SchoolMint Enroll, and coordination with campus and administration enrollment leadership. Ensure enrollment and annual back to school documentation is collected, verified, and maintained in accordance with established procedures and timelines. Lead weekly admissions meetings by presenting complete, accurate intake-to-enrollment information, ensuring informed student placement decisions and timely progression through the enrollment process. ESE Clerk:
Assist Staffing Resource Specialist with clerical tasks (i.e. Sending ESE meeting notices, scheduling meetings, managing the outlook calendar invites, tracking meeting schedule, copying materials, filing meeting packets, updating and monitoring ESE database) Assist with organizing records and maintain ESE student folders. Process ESE record requests from other school districts within 24 hours Submit ESE record requests for new students and follow up as needed. Assists in regular file reviews to ensure compliance including verifying the presence of documents. Collaborate with campus leadership and cross-functional teams to support appropriate student placement and services. Manage student intake documentation, including requesting CUM folders from students' transferring from another district school, and creation of "red folders" in preparation for cumulative (CUM) folders. Track and prepare enrollment-related KPIs, dashboards, and grant funding reporting. Maintain accuracy, completeness, and timeliness of enrollment and intake data that directly impacts funding, staffing, and campus operations. Identify data gaps or inconsistencies and escalate concerns in alignment with SOPs and supervisory guidance. Coordinate with registrars, ESE, Therapy, and campus teams to support documentation readiness, audits, and compliance requirements. Connect families to available resources (i.e. food, Medicaid, housing) when appropriate and document outcomes per established procedures. Coordinate and/or facilitate campus tours, Inside Look (open houses), enrollment-related events, and parent engagement activities. Education and Training:
Prefer Bachelor Degree in Social Work, Psychology, Public Administration or a related field.
Minimum Experience:
2 years intake experience/case management Prefer experience working in a school setting. Prefer Bilingual (Spanish/English)
