Job Description

CohenMalad, LLP, an Indianapolis- based law firm of 30+ lawyers, is seeking a compassionate and empathetic Intake Specialist to join our team and serve as the first point of contact for our clients.
Job Summary:
As an Intake Specialist focusing on intake for our mass torts team, you will play a critical role in our firm. You will be the first point of contact for potential new clients, responsible for gathering initial information, providing support, and ensuring callers feel heard and understood. Your ability to listen with empathy and put callers at ease is essential in this role.
Key Responsibilities:
Conduct initial intake interviews with potential new clients over the phone or in-person. Listen attentively to the clients' situation, ask relevant questions, and assess the potential for legal representation. Provide a compassionate and empathetic listening ear to callers, ensuring they feel supported and understood. Utilize strong communication and sales skills to convert potential leads into clients by explaining our services and how the firm can assist them. Accurately document and input information into our case management system. Coordinate with attorneys and other legal staff to ensure a seamless handoff of client information. Maintain confidentiality and handle sensitive information with the utmost care. Follow up with potential new clients as needed to complete the intake process. Assist with scheduling consultations and meetings for attorneys. Ensure all required documentation and medical records are obtained from clients. Perform other administrative tasks as needed to support the legal team.
Qualifications:
High school diploma or equivalent; associate or bachelor's degree preferred. Previous experience in a legal or customer service setting is highly desirable. Excellent verbal and written communication skills. Strong listening skills and the ability to demonstrate empathy and compassion. Ability to handle sensitive and emotional situations with professionalism and care. Proficiency in Microsoft Office Suite and experience with case management software. Strong organizational skills and attention to detail. Ability to work independently and as part of a team. Bilingual abilities are a plus.
