The Admissions Recruitment & Outreach Specialist advances this mission by coordinating and implementing recruitment, outreach, and engagement initiatives that attract a mission‑aligned applicant pool. This role serves as a primary liaison to prospective students, pre‑health advisors, and community partners while supporting pathway programs that expand access to medical education. The Specialist contributes to recruitment planning, event coordination, data tracking, and communications that strengthen prospective student experiences. The ideal candidate is organized, relationship‑driven, adaptable, and committed to student‑centered service in a fast‑paced, mission‑focused environment.
AA/EOE Location:
XOCOM - Benson Tower Minimum Qualifications Bachelor's degree from an accredited institution. Minimum of three (3) years of experience in admissions, recruitment, outreach, student services, enrollment management, or a related field. Strong interpersonal, written, verbal, and presentation communication skills. Experience coordinating events, outreach activities, or student engagement initiatives. Proficiency in Microsoft Office, Microsoft Teams, Google Workspace, and CRM or database systems. Ability to work evenings and weekends as recruitment activities require. Willingness and ability to travel locally and nationally (40-50% travel). Demonstrated professionalism, organizational skills, and commitment to student‑centered service. Preferred Qualifications Master's degree in higher education, education, public health, healthcare administration, or a related field. Experience in medical education, health professions education, or graduate/professional admissions. Experience with recruitment strategy development, outreach planning, or pathway programming. Familiarity with CRM (AMP, Kira Talent, etc.) systems, admissions software, and data reporting tools. Experience working with diverse student populations and community engagement initiatives. Familiarity with LCME accreditation standards or admissions compliance practices. Recruitment & Outreach Coordinate and support recruitment activities including information sessions, open houses, campus visits, recruitment fairs, and virtual programming. Represent XOCOM at local, regional, and national recruitment events and community engagement programs. Serve as a primary point of contact for prospective students, providing timely and professional communication. Build and maintain relationships with pre‑health advisors, colleges/universities, community organizations, and pathway partners. Assist in developing and implementing outreach strategies to attract a mission‑aligned applicant pool. Support pathway initiatives that expand awareness of and access to medical education opportunities. Essential Duties and Responsibilities Description 2. Admissions Operations & Communications Collaborate with admissions leadership to support recruitment planning and yield initiatives. Assist with admissions communications, including presentations, recruitment materials, email campaigns, and social media outreach. Coordinate logistics and staffing for recruitment events, including travel arrangements, scheduling, and event preparation. Support admissions operations such as interview days, applicant communications, and admitted‑student programming. Provide administrative and operational support to the Assistant Dean for Admissions. Essential Duties and Responsibilities Description 3. Data, Reporting & Assessment Track recruitment activities, inquiries, event participation, and engagement outcomes using admissions systems and databases. Assist in preparing reports and summaries related to recruitment effectiveness and applicant engagement. Use recruitment and admissions data to identify trends and opportunities for improving outreach efforts. Maintain accurate documentation and support compliance with institutional policies and accreditation expectations. Essential Duties and Responsibilities Description 4. Professional Representation & Continuous Improvement Stay informed on trends and best practices in medical school admissions, recruitment, enrollment management, and health equity. Participate in professional development related to recruitment, outreach, and student engagement. Contribute to continuous quality improvement efforts within the Office of Admissions. Perform other duties as assigned in support of the Office of Student Affairs.
