Job Description

DEFINITION
The Enrollment Operations Curriculum Specialist-Academic and Career Readiness supports the Enrollment Operations Department by managing the scheduling and maintenance of Academic and Career Readiness class sections and classroom spaces. Responsibilities include course and instructor scheduling, assisting with instructor contract initiation and support, compliance monitoring, data management, and interdepartmental collaboration. The Curriculum Specialist must apply institutional and NC Community College System Office scheduling regulations and demonstrate strong organizational, technical, and communication skills in a deadline-driven environment.
SUPERVISION RECEIVED AND EXERCISED
Reports to the Assistant Director of Enrollment Operations. Exercises no formal supervision.
ESSENTIAL AND OTHER IMPORTANT FUNCTIONS STATEMENTS
Essential and other important responsibilities and duties may include, but are not limited to, the following
Class Scheduling and Space Management:
Build and maintain ACR class sections in Advansys and Ellucian Colleague. Manage classroom assignments and schedule updates in Ad Astra and other scheduling systems. Maintain the Schedule Production Calendar in coordination with ACR leadership. Validate and proof schedules for accuracy using reporting tools such as Entrinsik Informer. Optimize classroom utilization and manage ACR space reservations and assist in the reconciliation of room conflicts between ACR, curriculum, continuing education (Economic and Workforce Development), events, and meetings. Submit accurate space utilization reports and scheduling data.
Instructor Contract Management Assistance :
May assist with the processing of ACR instructor contracts based on department priorities. Ensure contract data is accurate, complete, and compliant with college and system regulations. Collaborate with HR, Payroll, and academic departments to secure contract approvals. Track instructor loads, contract statuses, and related documentation.
Recordkeeping, Compliance:
Maintain accurate records for schedules, contracts, and curriculum data. Ensure compliance with auditing standards and scheduling regulations, as requested. Develop, document, and refine standard operating procedures for scheduling and contract cycles.
Reporting and Documentation:
Generate reports on schedules and enrollment. Produce end-of-term and ad hoc reports for leadership review. Support budget tracking for contract planning as needed. Other Important Functions Identify and implement scheduling and operational process improvements. Provide training on scheduling procedures and tools to ACR staff. Serve as a resource for system and scheduling-related inquiries. Maintain effective communication with internal stakeholders and support scheduling needs across departments. Participate in cross-training, procedural development, and implementation of scheduling best practices.
Other Duties:
Participate in relevant committees and working groups. Engage in professional development and training opportunities. Perform other related duties as assigned.
QUALIFICATIONS
Knowledge of:
Ellucian Colleague, NCCCS ERP systems, Ad Astra Scheduler, Entrinsik Informer, and other scheduling tools. Academic scheduling principles, practices, and regulations in compliance with institutional and NC Community College System Office requirements. CRM systems, reporting tools, and student recordkeeping platforms (e.g., Etrieve, Watermark/Aviso, Fund Five, Element451). Microsoft Office and Google Workspace applications. FERPA and other laws related to protected student information.

Physical and Mental Demands:
Maintain effective audio-visual discrimination and perception needed for making observations, reading and writing, communicating with others, operating assigned equipment, and handling varied tasks simultaneously. Maintain physical condition appropriate to the performance of assigned duties and responsibilities, which may include standing or sitting for extended periods of time, operating assigned equipment, and handling varied tasks simultaneously. Maintain mental capacity that allows the capability of making sound decisions, responding to questions, and demonstrating intellectual capabilities.
EXPERIENCE AND TRAINING GUIDELINES
Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
Minimum Education/Training:
Associate's Degree.
Minimum Experience :
Experience providing technical-based customer service in an educational or institutional setting.
Preferred Education/Training, Experience, Skills :
Bachelor's degree. Experience in a scheduling role, preferably within the NC Community College System. Experience working with course scheduling in Ellucian Colleague or Advansys. Special Instructions to
