Enrollment Specialist- Registration Systems Position Summary The Enrollment Specialist
- Registration Systems is responsible for the management, accuracy, coordination, and continuous improvement of the district's student registration processes and systems.
- Registration Systems plays a critical role in ensuring the district's enrollment systems and processes are reliable, responsive, user-friendly, and aligned to district operational, reporting, and planning needs.
Certification Requirements Required:
High School Diploma or equivalent Required criminal history background check, physical and proof of U.S. citizenship or legal resident alien status A valid driver's license or state issued ID, valid insurance and registration Preferred /Additional Qualifications:
Associate's or Bachelor's Degree in information systems, business administration, education, public administration, or related field Experience with student information systems (SIS) or database management Experience working in school operations, enrollment, or student services Bilingual proficiency preferredMinimum:
Three (3) years of experience in data entry, registration, school operations, enrollment, student services, or related field Demonstrated expertise in: Data management and system accuracy Registration and documentation processes Student placement coordination Use of databases or student information systems Strong knowledge of: Data entry standards and recordkeeping practices School operations and enrollment procedures Customer service and family support Ability to: Manage detailed processes with high accuracy Coordinate across multiple stakeholders Troubleshoot system and process issues Maintain confidentiality and data security Respond effectively to enrollment-related needs and changes Registration Systems Management Oversee and support the district's student registration systems and processes. Manage and maintain centralized registration processes Ensure systems are functioning effectively and efficiently Support updates, improvements, and enhancements to registration systems Coordinate with SIS and technology teams as needed Student Registration and Data Entry Ensure accurate and timely entry of student enrollment data. Enter, update, and maintain student records in district systems Verify completeness and accuracy of registration data Ensure alignment between registration data and system requirements Maintain organized and accurate records Documentation Verification and Compliance Ensure all required enrollment documentation is complete and compliant. Verify residency, identification, and eligibility documentation Ensure compliance with district and state enrollment requirements Maintain audit-ready records and documentation Identify and resolve discrepancies School-Based Enrollment Coordination Serve as a primary support contact between schools and centralized enrollment operations. Coordinate enrollment and placement information with school staff Communicate enrollment updates and changes to schools Support schools in managing enrollment-related processes Assist with school-based enrollment questions and operational needs Coordinate with school leadership regarding enrollment adjustments and placement needs Student Placement and Enrollment Support Support accurate and timely student placement processes. Assist with student assignments based on district policies, school capacity, and program availability Support enrollment transfers, withdrawals, and placement adjustments Maintain clear documentation related to student placement decisions Assist in resolving enrollment and placement issues Family Support and Registration Assistance Provide support to families navigating the registration and placement process. Assist families with completing registration requirements Provide guidance regarding documentation and enrollment procedures Communicate enrollment and placement information clearly and professionally Support resolution of registration and school assignment concerns Ensure a smooth and efficient enrollment experience Process Standardization and Efficiency Support the development and implementation of consistent enrollment processes. Standardize procedures across the district Identify inefficiencies and recommend process improvements Support staff training related to registration systems and procedures Improve turnaround time and service quality Data Quality and Integrity Ensure high standards of enrollment data accuracy and reliability. Conduct regular audits of enrollment data Identify and correct errors or inconsistencies Monitor data quality across systems Support accurate enrollment reporting Collaboration with Schools and Departments Work collaboratively with schools and district departments to support enrollment operations. Coordinate with principals and school staff regarding student enrollment and placement Support alignment with enrollment strategy and forecasting Communicate updates, process changes, and enrollment needs Collaborate with district departments regarding operational and staffing implications related to enrollment Cross-Departmental Alignment (NES Integration) Ensure enrollment systems and processes support districtwide operational and reporting needs. Collaborate with Data Systems & Analytics team Align enrollment processes with forecasting and reporting needs Support integration with district data systems Communicate school-level enrollment needs and feedback Continuous Improvement and System Enhancement Support ongoing improvement of enrollment systems and processes. Identify opportunities to improve systems and workflows Provide feedback on user experience and functionality Support implementation of system enhancements Recommend operational improvements to strengthen enrollment services Other Duties Perform such other duties as assigned by the Superintendent or designee in accordance with law and regulation.Workflow and Operating Expectations Daily:

Salary, benefits, and conditions of employment shall be in accordance with Board policy and applicable agreements. $100,000.00 Residency Requirement Under New Jersey's "New Jersey First Act" (N.J.S.A. 52:14-7), all employees of New Jersey public school districts must maintain bona fide New Jersey residency as a condition of employment. Candidates must already reside in New Jersey or establish residency within the required timeframe after hire. Current employees who were hired on or before September 1, 2011 are exempt from this requirement and may continue to reside outside the state.
