POSITION DESCRIPTION
Catholic Charities of Northern Nevada is seeking a qualified Candidate for an Intake Specialist. This position provides essential support to the Family Stabilization and Recovery (FSR) team by managing client intake documentation, milestone incentive inventory and storage, records management, and Casebook data entry. This position is the operational backbone of program accountability, ensuring that every client interaction, financial assistance transaction, and service milestone is documented accurately and completely. This is a grant-funded position and contingent upon grant funding.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
Intake and Pre-Screening Support Supports client intake and pre-screening by collecting demographic, housing, and program eligibility information for new families. Coordinates with case managers to ensure all intake documentation is complete and entered into Casebook on the day of first contact. Prepares intake packets, releases of information, and required program documentation for new enrollees. Milestone Inventory Management Manages the milestone incentive inventory, including receiving items, organizing secure storage in locked cabinets by category, and maintaining accurate inventory counts. Coordinates milestone incentive distributions with case managers, ensuring all distributions are documented with co-signed receipts per written program policy. Conducts regular inventory audits and alerts the director when restocking is needed. Records Management and Data Entry Maintains complete, organized client records and signature documentation. Enters client contact, service, and outcome data into Casebook accurately and promptly. Tracks compliance with reporting deadlines and supports the director with data pulls for quarterly DSS submissions.
MINIMUM QUALIFICATIONS
Education:
High school diploma or GED required.
Experience:
Two (2) or more years of experience in data entry, case management documentation, program administration, or intake coordination in a nonprofit or human services setting.
Skills/Abilities:
Proficient in MS Office (Word, Excel) and Casebook or comparable case management systems, demonstrates strong organizational skills and attention to detail, ability to work independently and collaborate effectively across program staff, and is able to pass a background check as required for positions serving vulnerable populations. Preferred Skills & Attributes Communicates bilingually in English and Spanish. Brings experience with audit preparation or compliance tracking in a grant-funded setting. Knows opioid recovery, family stabilization, or human services programs. Brings experience managing physical inventory or supply systems.
Pay:
$24.03 - $26.00 per hour
