Director of Programs Position Summary Young Black Motivated Kings & Queens (YBMKQ) is seeking a highly organized, welcoming, and detail-oriented Enrollment Coordinator to oversee enrollment, registration, and family engagement processes for both our Early Learning Center (ELC) and Out of School Time (OST) programming. The Enrollment Coordinator will serve as one of the first points of contact for families and will play a key role in ensuring a smooth, professional, and supportive enrollment experience from inquiry through onboarding. This position is responsible for maintaining enrollment records, supporting compliance requirements, tracking attendance and documentation, and helping maximize program enrollment and retention. Key Responsibilities Enrollment & Family Engagement Manage all inquiries, tours, applications, and enrollment processes for YBMKQ programs Serve as the primary point of contact for prospective and current families Assist families with completing registration packets and required documentation Support families with ELRC applications, subsidy verification, and payment processes Maintain regular communication with families regarding enrollment status, waitlists, and program updates Conduct follow-up outreach to prospective families to increase enrollment conversion Program Administration Maintain accurate student and family records within Brightwheel & Google Sheets across Early Learning and OST programs Ensure all enrollment documents are complete and compliant with DHS licensing requirements Track participant attendance, enrollment capacity, and program availability Coordinate onboarding processes for newly enrolled students and families Support data entry, reporting, and record management systems Assist with maintaining emergency contact information, health forms, and required clearances Operations & Coordination Collaborate with program staff, leadership, and administration to ensure smooth enrollment transitions Help coordinate transportation information, schedules, and classroom placements when applicable Support enrollment efforts during community events, open houses, and outreach initiatives Monitor enrollment trends and provide leadership with weekly enrollment updates and reports Assist with billing coordination and account follow-up as needed Weekly enrollment reports during scheduled admin meeting Mandatory Qualifications High School Diploma or GED required; Associate's or Bachelor's Degree preferred Experience in childcare, education, nonprofit administration, customer service, or enrollment coordination preferred Strong organizational and administrative skills Excellent verbal and written communication skills Ability to manage sensitive and confidential information professionally Experience working with families and youth from diverse backgrounds Proficiency in Google Workspace, Microsoft Office, and enrollment/database systems Ability to multitask in a fast-paced environment Preferred Qualifications Knowledge of DHS childcare licensing requirements Experience with ELRC or childcare subsidy systems Familiarity with youth development or early childhood programming Strong community engagement and relationship-building skills Core Competencies Professionalism and strong customer service Attention to detail Communication and relationship management Problem-solving and adaptability Cultural responsiveness and trauma-informed engagement Ability to work collaboratively within a team environment
