Job Description

JOB DESCRIPTION
Position Title:
Admissions Specialist/Office Manager Reporting To:
Clinical Coordinator Full Time hourly non-exempt position
Position Summary:
This position works directly under the Admissions Coordinator. This is a hybrid position involving the Admissions Department for Colonial House inpatient facilities and also Office Management duties of the Administrative staff at the main facility, located at 1300 Woodberry Road. This position will provide comprehensive services internally and externally as it relates to admissions into our inpatient treatment programs. This position entails working with the admissions team and is the first step for a client entering our program. This position requires a knowledge of social services and assisting clients with navigating the social service structure. Duties, Responsibilities and Objectives are outlined in two parts:
Admissions Specialist Primary Duties and Responsibilities:
Conducts client's initial intake, while completing all required documents including all required consents for treatment and facilitating the initial client chart setup. Coordinates client's welfare and reviews client's needs and eligibility while assisting the client with obtaining all required documents to obtain benefits which may also require conducting a precert. Reviews medical assistance with clients and ensures medical assistance case remains open while ensuring payment of services on behalf of CHI. Confers with the criminal justice system including probation, judges, attorneys, and treatment courts to ensure client's compliance and continuity of care. Ensures that the integrity of this job is performed with the knowledge and understanding of a client's right to confidentiality and the need to obtain consents to release client's personal information. Prepares Department of Welfare applications and responds to Social Security Administration, Office of Vocational Rehabilitation, and other social service agencies as needed. Must be in compliance with obtaining all required trainings as it relates to the position. Ensures that all intake information is started in PAWITS on clients. Coordinates with CHI's medical liaison to ensure that all new intakes have needed medications with all required documentation. Ensures that all duties and responsibilities identified are being done for clients in both inpatient treatment programs. Provides other duties and responsibilities deemed necessary by immediate supervisor and the Executive Director, including Outreach activities, as necessary.
Position Objectives :
Ensures both inpatient treatment facilities are operating at full capacity. Demonstrates and communicates knowledge of Agency's policies and procedures. Ensures a smooth transition of new clients coming into our inpatient programs. Presents verbally as well as in writing professional and ethical regard internally and when communicating externally.
Office Manager Position Summary:
The Office Manager is responsible for working with all staff to create an environment where staff, visitors and clients feel competently serviced and cared for and where staff can work together as a team. Our clients are greeted first by our Office Manager and we are looking for someone who can be a part of our team and can be the face of what our program is all about, a Sober Free Environment. The successful candidate should have prior experience working in a behavioral health setting specifically in substance use disorder programs. The candidate should have experience working in an office and have computer skills that allow for use of Word, Excel, and Outlook. The candidate will need to enjoy working with people. This role will serve as an assistant to all managers, including Admissions Coordinator, Tech Supervisor and lead techs, Operations Manager, Clinical Supervisor, Finance Manager, and Executive Director.
Primary Duties and Responsibilities:
Oversee and support all administrative duties in the office and ensure that office is operating smoothly. Manage office supplies inventory and submit orders to management as needed.
Perform receptionist duties:
greet visitors, and answer and direct phone calls. Receive and sort incoming mail and deliveries and manage outgoing mail. Identify opportunities for process and office improvements, and design and implement new systems. Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports. Contributes to team effort by accomplishing related results as needed. Support Outpatient Office Manager with scheduling and insurance verification. Support our Admissions Coordinator and Tech Supervisor with scheduled client appointments, including mediating transportation. Support Finance department with receiving orders and meeting with vendors. Support Operations Manager with HR duties as needed and other duties which will ensure operations of the facility are in order.
Qualifications:
Minimum High School Diploma or GED with 2 years of experience in a human service agency, preferably in a drug and alcohol setting, which includes, direct service and familiarity levels of care and funding sources is preferred.
Physical Demands:
The physical demands described in this section are representative of those that must be met by an employee to successfully perform the essential functions of this position. While performing the duties described herein, the employee is regularly required to talk, hear, stand, walk, maneuver stairs, sit, stoop, kneel, crouch and crawl. The employee must occasionally lift and/or move up to 15 pounds. Specific vision capabilities required by this position include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
Work Location/Environment:
The position will be housed in our 1300 Woodberry Road office. This position may involve travel to other worksites, all within York County. While performing the duties of this position, the employee is occasionally exposed to wet and/or humid conditions and outside weather conditions. The noise level in the work environment is generally moderate.
