Job Description

Job Summary Homer Senior Citizens, Inc. (HSC) is seeking a highly organized, professional, and proactive Executive Assistant & Front Desk Coordinator to support the Director of Operations and Director of Care Services while serving as a key point of contact at the front desk. This hybrid role blends executive-level administrative support with receptionist responsibilities and requires a strong ability to manage competing priorities in a fast-paced, service-oriented environment. The ideal candidate will demonstrate exceptional attention to detail, sound judgment, and the ability to handle confidential information with discretion. This position plays a critical role in supporting both operational efficiency and quality care coordination across the organization. Key Responsibilities Executive & Administrative Support Provide direct administrative support to the Director of Operations and Director of Care Services Manage complex calendars, schedule meetings, and coordinate internal and external appointments Prepare, transcribe, and distribute meeting minutes with clear documentation of action items Assist with coordination of projects, reports, and departmental communications Support compliance-related documentation and organization as needed Front Desk & Communication Serve as the first point of contact for visitors, families, and community members Answer and route incoming calls with professionalism and strong phone etiquette Provide general information and ensure a welcoming, supportive environment for all guests Operational & Organizational Support Maintain organized digital and physical filing systems for easy retrieval and compliance Proofread and format documents to ensure clarity, accuracy, and professionalism Assist with event planning and coordination for meetings, trainings, and community events Collaborate across departments to support communication and streamline workflows Additional Responsibilities Social media support and basic content coordination Data entry and administrative support within QuickBooks Assist with tracking tasks, follow-ups, and departmental needs Perform other duties as assigned to support organizational operations Qualifications & Requirements Proven experience in an administrative role, preferably supporting executive leadership Experience in healthcare, senior services, or a nonprofit environment is a plus Strong proficiency in Microsoft Office Suite and familiarity with tools such as DocuSign Excellent typing skills with a high degree of accuracy Exceptional organizational and time management skills with the ability to prioritize effectively Strong written and verbal communication skills, including proofreading and professional correspondence Ability to handle sensitive and confidential information with discretion Proactive problem-solving skills and the ability to anticipate needs Comfortable working in a dynamic environment that supports both operations and care services
