Job Description

Summary The Executive Assistant to the CEO serves as a strategic extension of the executive—acting as a trusted partner, gatekeeper, problem solver, and operational force multiplier. This role goes far beyond calendar management and administrative support. The Executive Assistant is expected to anticipate needs, exercise sound judgment, protect executive time, and represent the CEO and the organization with professionalism, discretion, and confidence. This role requires a high level of tenacity and enablement. The ideal candidate thrives in fast-paced environments that require initiative, discretion, adaptability, and sound judgment. Responsibilities Serve as the primary point of contact for the CEO's office, including answering and managing calls, handling inbound communication with professionalism and efficiency. Review and monitor the CEO's email multiple times daily to create and maintain a running, prioritized action and to-do list. Screen calls, emails, and requests, exercising discretion and judgment while ensuring stakeholders feel heard and supported. Manage scheduling, meetings, and logistics, with the ability to fully own the CEO's calendar once fully onboarded. Attend internal meetings on behalf of the CEO when the CEO is traveling or unavailable, capturing key information and following up on action items. Act as the "eyes and ears" of the organization—remaining attuned to employee sentiment, customer needs, and operational issues. Be viewed by internal and external stakeholders as a link to the executive office, not a barrier, while safeguarding the CEO's time and priorities. Provide limited personal assistant support (e.g., dry cleaning coordination, gift purchases, small errands) to remove friction from the CEO's day. Support special projects, initiatives, and executive priorities as needed. Create, improve, and manage processes that help allocate time, resources, and information more effectively. Maintain a strong understanding of the company's vision, mission, and business direction and operate in alignment with them. Work with little to no supervision, while remaining closely aligned with the CEO Manage multiple competing priorities simultaneously Perform other related duties as assigned in support of executive and organizational objectives. Required Experience and Qualifications Bachelor's degree in Business, Communications, or a related field or an equivalent combination of education and relevant professional experience Minimum of 3 years of experience providing administrative, operational, or executive-level support to senior leaders Prior experience supporting senior leadership or executive teams Experience managing projects, events, meetings, and complex schedules Understanding of basic business models and organizational operations Strong process-building and optimization skills Experience in small to midsize organizations preferred, where versatility and adaptability were required Core Competencies A high degree of initiative, capable of taking independent action while always exercising sound judgment Flexibility and comfort reprioritizing frequently in a fast-moving environment Absolute trustworthiness, discretion, confidentiality, and integrity Ability to remain calm, composed, and effective under pressure and time constraints Exceptional attention to detail with a commitment to accuracy and quality Strong leadership presence and understanding of team dynamics Excellent interpersonal, communication, and customer service skills (internal and external) Confidence interacting with senior leaders and external stakeholders Strong personality; not easily intimidated Ability to screen and manage incoming executive office calls with professionalism and satisfaction Commitment to staying current with technology and continuously improving systems and workflows Positive, "can-do" attitude with a collaborative mindset Ability to bring levity, perspective, and emotional intelligence to high-pressure days Willingness to mentor, guide, and support others when appropriate Work Environment While performing the duties of this job, the employee regularly works in a standard office setting. The role involves typical office conditions, including time-sensitive deadlines, interaction with internal and external stakeholders, and occasional exposure to challenging or high-priority situations. The position requires travel. Professional business attire is required while representing the organization. Additional Information Location :
This is an in-office position based at our Decatur, Alabama location.
Travel:
Up to 25%
Compensation:
$65,000 to $77,000 annually depending on experience.
Relocation:
Available for highly qualified candidates.
