Job Description:
Our client, a leading publicly traded manufacturing company, is seeking an experienced Executive Administrative Assistant for an immediate contract-to-hire opportunity. This position will provide high-level administrative support to senior executives, ensuring seamless day-to-day operations and safeguarding confidential information. The ideal candidate is proactive, detail-oriented, and adept at supporting C-suite or senior leadership in a dynamic, fast-paced environment.
Key Responsibilities:
Provide comprehensive administrative support to executive leaders, including complex calendar management, meeting coordination, and domestic/international travel arrangements. Prepare and edit correspondence, reports, presentations, and confidential communications. Manage expense reports, reconciliations, and executive documentation in compliance with company policies. Liaise with internal departments, board members, and external partners to facilitate executive directives and requests. Schedule and coordinate meetings, events, and off-site activities, including meeting logistics, catering, and technology setup. Screen and prioritize communications, ensuring timely responses on behalf of leadership. Maintain strict confidentiality of sensitive materials and information. Assist with special projects and provide support for continuous process improvements within the administrative function.
Qualifications:
5+ years supporting C-suite or senior leadership, ideally in a publicly traded or manufacturing environment. Proven experience with calendar management, travel planning, and meeting logistics. Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); SAP or ERP experience a plus. Exceptional written and verbal communication skills. Professionalism, discretion, and ability to handle confidential information. Highly organized, detail-oriented, and able to prioritize multiple initiatives under tight deadlines. Bachelor's degree preferred or equivalent experience.
