Job Description

Executive Assistant Bloom Hillel Foundation at The University of Alabama Tuscaloosa, Alabama | Full-Time, Exempt | On-Site Bloom Hillel Foundation at The University of Alabama invites applications for a highly organized and professional Executive Assistant to support the Executive Director and senior leadership team. Full time, exempt position is based on-site in Tuscaloosa and plays a critical role in advancing Hillel's mission by ensuring efficient daily operations, confidential administrative coordination, and strategic executive support. The Executive Assistant operates as a trusted partner to the Executive Director, managing priorities, anticipating needs, and ensuring seamless coordination across board relations, donor engagement, student programming, and campus partnerships. Key Responsibilities Executive & Administrative Support
  • Manage complex calendars, scheduling meetings, events, and travel with attention to priorities and time management
  • Serve as the first point of contact for phone, email, and in-person inquiries
  • Demonstrated experience with digital media and communications, including proficiency in tools such as Canva, website content management systems, and social media platforms, with the ability to create, edit, and manage engaging content.
  • Prepare, draft, and edit correspondence, reports, presentations, and meeting materials
  • Maintain organized filing systems and ensure confidentiality
  • Process invoices, reconcile expenses, and assist with financial tracking
  • Anticipate needs and proactively solve problems
  • Assist with events that take place on weekends or after hours Events & Program Support
  • Assist in planning and executing events and programs
  • Coordinate logistics such as invitations, RSVPs, materials, and set up
  • Support campus partnerships and initiatives Confidential & High-Level Support
  • Handle sensitive information with discretion
  • Exercise sound judgment in decision-making
  • Support recruitment processes Minimum Qualifications Associates degree At least three (3) years of progressively responsible administrative support experience Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint Experience with social media platforms, mail suites, and content/image creators Demonstrated record of reliable job attendance Ability to handle confidential information with discretion Preferred Qualifications Bachelor's degree Experience supporting senior-level executives or nonprofit leadership Experience working with boards, volunteers, or donors Strong written communication and organizational skills Compensation & Benefits Bloom Hillel Foundation offers competitive compensation ($48k-$58k) commensurate with experience and qualifications.
