Supports the President and Senior Vice President through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices, and procedures. Ability to effectively communicate via phone and email ensuring that all Executive Assistant duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Typically reports to a manager or head of a unit/department. Key Responsibilities & Accountabilities Phone & Email Answer and direct phone calls Reply to email, telephone, or face to face enquiries Provide information by answering questions and requests Organize and schedule meetings and appointments Produce and distribute correspondence emails, memos, letters, and forms Write letters and emails on behalf of other office staff Reporting Assist in the preparation of regularly scheduled reports Submit and reconcile expense reports Scan and send mail and documents to appropriate team members Take accurate minutes of meetings Office Develop and maintain a filing system Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies Coordinate office procedures Travel Book travel arrangements as needed for executive team (Airfare, Lodging, Car Rental) Book conference calls, rooms, rideshare, couriers, hotels etc. for executive team General Contribute to team effort by accomplishing related results as needed Carry out administrative duties such as filing, typing, copying, binding, scanning etc. Handle sensitive information in a confidential manner Develop and update administrative systems to make them more efficient Resolve administrative problems Deliver mail or packages to post office, UPS, etc. Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications Education & Experience 2-3 years of clerical, secretarial, or office experience Proficient computer skills, including Microsoft Office Knowledge of office management systems and procedures Strong verbal and written communication skill Strong organizational and planning skills Attention to detail and problem-solving skills Excellent time management skills and ability to multi-task and prioritize work Comfortable with routinely shifting demand High school diploma or equivalent; college degree preferred Basic Areas of Knowledge & Skills Administrative Writing/Keyboarding Microsoft Office Professionalism Problem Solving Verbal and Written Communication Office Administration Procedures Attention toDetail and Accuracy Multitask Telephone and Email Aptitude Teamwork Discretion and Judgment Job Type:
