We are seeking a highly organized, proactive, and emotionally intelligent Executive Assistant to support the Senior Executive Assistant, Executive Leadership Team, and Business Development team. This is a trusted, high-visibility role that plays a critical part in supporting executive operations, office management, leadership coordination, business development activities, and team member experience across SALT's Home Support Offices. This individual will serve as a key operational partner to the Senior Executive Assistant and will help ensure the day-to-day operations of the office and executive team run smoothly and efficiently. The ideal candidate is polished, highly responsive, solutions-oriented, and thrives in a fast-paced environment where priorities shift quickly and no two days look the same. The right person will have a strong hospitality mindset and take pride in delivering a polished, concierge-level experience for executives, guests, prospective doctor partners, and team members. Location & Schedule This role is based in SALT's Phoenix Home Support Office in the Arcadia area of Phoenix, Arizona. This is a full-time, in-office position that plays a critical role in supporting executives, team members, office operations, visitors, and company events. Consistent onsite presence is essential to the success of the role. The standard schedule is 8 hours per day, Monday through Friday, with flexibility to support occasional early morning, evening, or event-related needs. Responsibilities:
Executive & Leadership Support Provide day-to-day executive and administrative support to the Senior Executive Assistant, Executive Leadership Team, and Business Development team Assist with calendar coordination, meeting scheduling, executive travel arrangements, itineraries, expense reports, and leadership logistics Coordinate complex executive and business development travel arrangements, hotel accommodations, itineraries, and travel logistics with a high level of accuracy and attention to detail Support executive onboarding activities including scheduling, coordination, meeting preparation, and organizational support Assist with confidential communications and sensitive information with professionalism and discretion Serve as a responsive and solutions-oriented resource for executives, leadership, and team members across the organization Help support ongoing coordination of executive meetings, leadership activities, and special projects as needed Office Operations & Facilities Management Serve as the primary point of contact for day-to-day office operations, facilities management, workplace experience, and office readiness for SALT's Phoenix and Nashville Home Support Offices Manage office vendors, building coordination, maintenance requests, workplace logistics, and office-related operational needs Oversee office supplies, kitchen and beverage inventory, catering coordination, workplace organization, and team member facing office support Coordinate office access, meeting room functionality, office appearance, and workplace readiness across both locations Lead day-to-day office management activities while supporting office growth, workplace improvements, space planning, operational organization, and employee experience initiatives Assist with coordination of office technology, AV support, meeting room setup, and presentation environments as needed Events, Executive Experiences & Team Engagement Support planning and execution of executive meetings, board meetings, leadership gatherings, trainings, and company events Coordinate onsite logistics, hospitality, vendor coordination, meeting setup, and event support for Phoenix and Nashville-based meetings and executive visits Assist with business development visits, executive hospitality, onboarding experiences, and concierge-level guest coordination to ensure a polished and seamless experience Support larger company events and initiatives in partnership with internal event leadership and cross-functional teams Help foster a positive and connected office environment through team member celebrations, lunches, and engagement initiatives Business Development & Executive Coordination Provide administrative and logistical support to the Business Development team and executive leadership as needed Assist with coordination of prospective doctor partner visits, conferences, executive travel, trainings and leadership events Support gifting, onboarding materials, executive hospitality, and relationship-focused initiatives Help ensure smooth coordination and communication across executive leadership and business development activities Qualifications:
5+ years of executive assistant, office management, travel coordination, hospitality, or leadership support experience preferred High emotional intelligence with strong interpersonal and communication skills Exceptional organizational skills with strong attention to detail and follow-through Ability to manage multiple priorities and shifting deadlines in a fast-paced environment Strong problem-solving skills with a proactive and solutions-oriented mindset Experience coordinating complex executive travel and managing detailed itineraries preferred Strong hospitality mindset with the ability to provide polished, white-glove support to executives, guests, and prospective partners Service-oriented with a willingness to step in and support wherever needed Strong event coordination, office management, and executive support experience preferred Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, Teams) Team-oriented, collaborative, and highly responsive Operates with professionalism, discretion, accountability, and sound judgment Ability and willingness to travel approximately 2-4 times per year to support company meetings, trainings, leadership gatherings, and special events.
