Position Summary The Executive Assistant is a pivotal role that combines high-level administrative support, people operations, and revenue growth responsibilities. This position supports the Owner in daily operations, oversees office coordination, helps manage hiring and onboarding, and serves as a key contributor to EZ Medical Transportation's business expansion. This is an excellent opportunity for someone who wants to grow in HR, operations, sales, and leadership while learning the structure, strategy, and profitability of the non-emergency medical transportation industry . Key Responsibilities Executive & Administrative Support Provide direct support to the Owner, ensuring priorities, deadlines, and daily operations are organized and executed. Oversee office workflow and support the Dispatcher / Office Assistant as needed. Assist with interviewing, hiring, onboarding, and training new drivers and administrative staff. Maintain organized digital and physical records in compliance with company policies and HIPAA standards. Support HR operations, including documentation, personnel updates, and compliance tracking. Manage office supplies, vendor coordination, incoming mail, and facility needs. Handle sensitive information with discretion and professionalism. Business Development Research and identify potential new business partners, including hospitals, assisted living facilities, senior communities, and healthcare networks. Conduct outreach calls, discovery conversations, and qualification meetings to understand partner needs. Develop business proposals, presentations, marketing materials, and partnership decks. Present EZ Medical Transportation's services in person and virtually to prospective partners. Serve as a primary point of contact for assigned facility partners, ensuring smooth communication and strong relationships. Support contract development, renewal conversations, and partner agreements. Assist the Owner in negotiations and follow through on partnership deliverables. Track outreach efforts, leads, and partnership progress using CRM or internal systems. Operational Coordination Collaborate with dispatch and operations to ensure staffing, scheduling, and service delivery meet partner needs. Support escalation management when service issues arise, ensuring timely and professional resolution. Help maintain accurate ride reports, KPI tracking, and performance dashboards. Assist with internal communication and team coordination to improve operations and service quality. Qualifications High School Diploma or GED required; Bachelor's degree preferred. 1-2 years of professional experience in HR, sales, business development, customer service, operations, or administrative support. Strong computer skills (Microsoft Office, Google Workspace, CRM or scheduling systems). Excellent communication skills and comfort presenting to groups in person and virtually. Ability to work independently, take initiative, and collaborate in a fast-paced environment. Highly organized, detail-oriented, and able to manage multiple priorities. Strong customer service orientation and interpersonal skills. Professionalism, discretion, and the ability to handle confidential information effectively. Willingness to learn the NEMT business and grow into expanded responsibilities. Positive attitude, adaptability, and a desire to contribute to a mission-driven team.
