You will not be scheduling meetings and forwarding emails on autopilot. You will be an extension of the
CEO:
anticipating her needs before she voices them, creating capacity before she runs out of it, and owning your lane with full accountability. You will think like an operator, act like a partner, and execute like someone who takes deep pride in their work. What You'll Do Manage the CEO's calendar, communications, and priorities with proactive judgment, not just reactive scheduling. Identify inefficiencies in her day, her workflow, and her world and fix them before she has to ask. Coordinate across team members, vendors, clients, and referral partners on her behalf. Draft communications, prepare materials, and represent her professionally in written and verbal interactions. Build and maintain systems that protect her time and keep operations running smoothly Anticipate what's coming next week, next month, and next quarter and prepare accordingly Handle confidential information with absolute discretion and professionalism Attend and assist with events, including setup and teardown for networking functions and conferences, as well as running local errands and traveling across the valley as needed Plan and book domestic and occasional international travel for the CEO and Leadership team. Create detailed itineraries, manage logistics, and troubleshoot changes as they arise Leverage AI tools and modern technology to automate repetitive tasks and save time. Support operational projects and assist with ad hoc tasks as assigned. Keep the CEO informed, organized, and focused on key priorities What We're Looking For Experience supporting a high-functioning CEO — you understand what it takes to be the right hand to someone operating at that level Proactive by nature — you see what needs to be done and you do it Systems-minded — you build structure wherever you go Driven and accountable — you own your work fully, no excuses Fast-paced and urgent — you match the energy of a high-velocity CEO Strong communicator — clear, direct, professional in all formats Detail-oriented without being paralyzed — you catch things, you don't spiral Discreet and trustworthy — you handle sensitive information like a vault Must pass a background check Must possess a valid Drivers License and reliable transportation for errands, meetings, and event support This role requires someone local who can be physically present.
