Job Description

Overview We are seeking a highly experienced Executive Assistant to provide dedicated support to a senior/high-functioning executive. This role demands the utmost discretion, professionalism, and sound judgment, as you will regularly handle sensitive and confidential information. The ideal candidate is a self-starter: a true go-getter who learns quickly, adapts on the fly, and requires minimal oversight. You'll need to be highly responsive, anticipate needs before they arise, and bring calm, capable energy to a fast-paced environment. Prior experience supporting a C-suite executive or other senior leader is required. Responsibilities
  • Manage and coordinate complex, ever-changing calendars, appointments, and meetings, exercising sound judgment in prioritization and scheduling decisions on the executive's behalf.
  • Serve as a trusted gatekeeper for communications, handling calls and correspondence with discretion, professionalism, and excellent judgment regarding confidential matters.
  • Prepare, proofread, and edit correspondence, reports, presentations, and other documents with precision and a high standard of polish.
  • Maintain meticulous digital and physical filing systems, ensuring sensitive information is organized, secure, and easily retrievable.
  • Coordinate and execute executive, member, and company events, including venue selection, vendor management, guest communications, logistics, budgeting, and on-site support to ensure a seamless experience.
  • Arrange detailed travel logistics, including accommodations, transportation, and itineraries, often with short notice and changing requirements.
  • Support broader office operations as needed, including supplies, equipment, and front- desk coordination.
  • Respond promptly and courteously to inquiries via phone and email, representing the executive professionally at all times.
  • Handle data entry, bookkeeping (QuickBooks or similar), and expense/invoice management with accuracy.
  • Lead or support special projects, meetings, and events while maintaining strict, ongoing confidentiality.
  • Proficiently use Microsoft Office Suite and Google Workspace to keep daily operations running smoothly. Ideal Candidate
  • Prior experience as an Executive Assistant to senior leadership is required.
  • Demonstrated ability to learn quickly, take initiative, and operate independently with limited direction.
  • Exceptional discretion and trustworthiness in handling private and sensitive information.
  • Highly responsive, with strong judgment under time pressure and shifting priorities.
  • Polished communication skills and a proactive, "no task too small" mindset.
Pay:
$65,000.00 - $75,000.00 per year Application Question(s): Tell me about a time when your executive gave you a vague objective and expected you to figure out the details.
