This role requires exceptional judgment, discretion, and the ability to anticipate needs in a fast-paced hospice environment. The ideal candidate is highly organized, proactively solves problems, and brings a professional presence that reflects the values of Uplift Hospice. Executive Support Manage the COO's calendar, prioritizing and scheduling meetings, appointments, and travel with a high degree of accuracy and foresight Prepare and distribute agendas, meeting materials, presentations, and follow-up communications Draft, proofread, and send correspondence on behalf of the COO Serve as the primary point of contact between the COO and internal/external stakeholders Screen and manage incoming communications, escalating urgent matters appropriately Operations & Project Coordination Track key operational initiatives, deadlines, and deliverables across departments; flag risks and follow up on open items Coordinate cross-functional projects including scheduling, documentation, and status reporting Support compliance and regulatory activities including document preparation, licensing renewals, and audit readiness Assist with onboarding coordination, HR documentation, and personnel file management as directed Liaise with clinical, HR, finance, and administrative teams on behalf of the COO Information & Document Management Maintain organized digital filing systems for contracts, policies, reports, and correspondence Prepare and format internal reports, dashboards, and executive summaries Handle sensitive and confidential information with the highest level of discretion Support development and maintenance of operational templates, SOPs, and reference documents Meetings & Events Plan and coordinate internal leadership meetings, off-site events, and external stakeholder visits Capture meeting minutes and distribute action items; track follow-through on commitments Arrange travel logistics including flights, accommodations, ground transportation, and itineraries Qualifications Required 3+ years of experience as an executive assistant or in a similar senior administrative role Demonstrated ability to manage complex calendars and competing priorities in a dynamic environment Strong written and verbal communication skills; professional and polished in all interactions Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) High emotional intelligence and ability to navigate sensitive situations with discretion Strong attention to detail and follow-through Preferred Experience in healthcare, hospice, home health, or a similarly regulated industry Familiarity with
ACHC/CHAP
