This vital role offers the opportunity to support senior leadership by managing a wide array of administrative functions with energy and precision. The ideal candidate will demonstrate exceptional organizational skills, proactive problem-solving abilities, and a positive attitude to help streamline daily operations and ensure seamless communication across departments. Responsibilities Manage complex calendars, schedule meetings, and coordinate appointments to optimize executives' time effectively Handle incoming calls using multi-line phone systems with professionalism and courteous phone etiquette Prepare, proofread, and edit correspondence, reports, and presentations with attention to detail and accuracy Organize and maintain filing systems, both physical and digital, ensuring easy retrieval of information Assist with data entry, bookkeeping tasks, and expense tracking using QuickBooks or similar accounting software Serve as the front desk receptionist, greeting visitors and directing inquiries with a warm, professional demeanor Support office management tasks including supply procurement, facility coordination, and event planning Provide bilingual support when necessary to facilitate communication with diverse clients or partners Coordinate travel arrangements, manage calendars, and prioritize tasks to ensure timely completion of projects Deliver exceptional customer service by addressing inquiries promptly and efficiently across various channels Qualifications Proven experience as an executive assistant or in a similar administrative role within an office environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools Excellent organizational skills with the ability to multitask effectively in a fast-paced setting Demonstrated experience with office management functions such as filing, proofreading, and clerical duties Exceptional customer service skills combined with professional phone etiquette on multi-line systems Bilingual abilities are preferred, but not necessary to support diverse communication needs Prior experience in medical or dental receptionist roles is a plus but not required Familiarity with office equipment including multi-line phones, printers, scanners, and basic bookkeeping software like QuickBooks Strong time management skills with the ability to prioritize tasks efficiently and meet deadlines Personal assistant experience or background supporting senior executives is advantageous Join us in this exciting role where your organizational talents will make a meaningful impact!
