Executive Assistant We're looking for a sharp, discreet, and highly organized Executive Assistant to be the right hand of our Chief Executive Officer (CEO). This isn't a traditional admin role, you'll operate at the center of a fast-moving construction management firm, helping the CEO protect their time, prioritize daily matters, and stay ahead of a demanding calendar. You'll be trusted with sensitive information, key client relationships, and decisions that keep the executive office running smoothly. The right person is anticipatory rather than reactive, calm under pressure, and quickly become knowledgeable of the details that make the CEO's workday smoother.
Position Description:
Provides high-level administrative support and assistance to the CEO, Vice Presidents and/or other assigned leadership staff. Serve as the primary point of contact and gatekeeper for the CEO and managing a complex calendar. Coordinate travel, including flights, accommodations, ground transportation, and detailed itineraries; often with last-minute changes driven by demands. Draft, edit, and proofread correspondence, memos, proposals, presentations, and reports on behalf of the CEO and senior leadership. Prepare meeting materials, attend executive and client meetings as needed, capture clear minutes, track action items, and follow up to ensure things get done. Screen incoming calls, emails, and mail; triage by urgency; respond directly where appropriate and route the rest with context. Manage expense reports, corporate credit card reconciliations, and the corporate travel program. Coordinate company events, leadership offsites, client functions, and recognition programs, from logistics to vendor management. Maintain confidential files, contact databases, and executive records with precision. Partner with the broader leadership team to keep priorities aligned and information flowing. Take on special projects and ad hoc responsibilities that support the CEO and the business.
