The Company:
MGM Energy is a contractor specializing in HVAC, plumbing, energy conservation, and electrical services. We also participate in the Energy Saving Assistance Program sponsored by Southern California Edison, Southern California Gas Company, Southwest Gas, and Bear Valley Electric.Job Overview:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our senior leadership team. This role is crucial in ensuring prompt follow-up on reports and action items, managing executive schedules, and serving as a trusted gatekeeper. The ideal candidate will be a fluent Spanish speaker, hold a Bachelor's degree, and excel in communication, prioritization, and the handling of confidential information. Responsibilities and Duties Manage and maintain executive calendars, including scheduling meetings, prioritizing time, and resolving conflicts. Act as a gatekeeper for executives by screening calls, emails, and meeting requests. Coordinate, track, and follow up on reports, action items, and deadlines to ensure timely completion. Prepare agendas, meeting materials, presentations, and executive-level correspondence. Manage complex executive calendars in alignment with strategic priorities, minimizing conflicts and inefficiencies. Exercise sound judgment in managing access to executives and prioritizing communications as a trusted gatekeeper. Prepare, analyze, and consolidate executive-level reports, dashboards, and data summaries using Office 365 tools. Interpret and analyze data to highlight trends, risks, and opportunities, providing concise insights for leadership review. Develop and manage agendas for executive meetings; ensure materials are prepared in advance and distributed appropriately. Track meeting outcomes, decisions, and action items; follow up with responsible parties to ensure completion. Draft, edit, and translate executive correspondence, reports, and presentations as needed. Manage and organize digital files, documents, and reporting systems within SharePoint, OneDrive, and Teams. Support the optimization of executive workflows by improving processes, reporting structures, and information flow. Handle sensitive and confidential information with the utmost discretion and professionalism. Assist with special projects and executive initiatives, including research, analysis, and progress tracking. Coordinate travel, logistics, and preparation for executives when necessary.Requirements:
Bachelor's degree from an accredited college or university (required) Proven experience as an Executive Assistant, Senior Administrative Assistant, or similar role Strong ability to manage multiple priorities, deadlines, and follow-ups with minimal supervision Excellent organizational, communication, and interpersonal skills High level of professionalism and discretion in handling confidential matters Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management tools Demonstrated expertise in data analysis, reporting, and follow-up tracking Spanish-speaking ability is a plus.The Location:
