The Executive Assistant to the Vice President for Student Belonging / Chief Diversity Officer (CDO) and Special Assistant to the President serves as a high-level administrative support professional. This role extends beyond traditional executive support to include divisional coordination, communications strategy execution, and cross-division collaboration. The position plays a critical role in advancing institutional priorities related to student belonging, diversity, while also providing expanded administrative and operational support to Student Life and Athletics. This position requires a high degree of discretion, independent judgment, and institutional awareness, and is entrusted with sensitive information requiring confidentiality, professionalism, and seasoned decision-making. Required Education Bachelor's degree required; Master's degree preferred. Required Experience Five to seven years of progressively responsible experience as an executive assistant supporting senior or executive-level leadership, preferably in higher education. Primary Duties/Essential Functions For the VP of Student Belonging/ CDO and Special Assistant to the
President:
Executive Support Serve as a trusted, confidential partner to the Vice President in managing executive-level administrative, operational, and strategic responsibilities. Facilitate efficient office operations, including calendar management, correspondence, scheduling, screening communications, and preparation of executive materials. Prepare reports, research summaries, presentations, and communications in support of the Vice President's institutional responsibilities, including work related to the Office of the President. Coordinate internal and external stakeholder engagement, representing the Vice President with professionalism, hospitality, and institutional awareness. Support budget management activities, including monitoring expenditures, preparing purchase requisitions, and processing expense reports. Coordinate Student Belonging Committee of the Board meetings, including preparation of agendas, materials, reports, and serving as recording secretary. Provide administrative and logistical support for the Student Belonging Leadership Team, including meetings, retreats, and special initiatives. Performs other duties and special projects as assigned. Regular, punctual attendance as required based on department needs. For the
Division of Student Belonging:
Divisional Operations & Communications Support the operational effectiveness of the Division of Student Belonging by coordinating workflows, meetings, and divisional initiatives. Develop and execute centralized communication strategies that reflect the division's mission, values, and institutional priorities. Create and manage marketing and communication plans to promote student belonging initiatives, services, and events. Coordinate and disseminate division-wide communications to students, including targeted email campaigns and announcements to increase engagement. Assess, develop, and maintain a centralized intake and response system for student concerns and inquiries related to belonging and diversity. Manage and curate divisional social media content, newsletters, and digital communications in collaboration with campus partners. Collaborate with internal offices to ensure consistent, clear, and inclusive messaging aligned with university standards and priorities. For the three Student Belonging Divisions, including
Student Life, Athletics, and Diversity:
Additional Administrative Support Provide cross-divisional administrative and logistical support to the Division of Student Life, including Campus Life, Campus Wellness, Spiritual Life, Housing, as well as the department of Athletics and Diversity. Assist with coordination of meetings, communications, and initiatives that intersect between Student Belonging areas, which include Student Life, Athletics, and Diversity. Support divisional leaders with scheduling, documentation, and communication needs as assigned. Contribute to division-wide efforts that enhance student engagement, wellness, spiritual formation, and residential experience. Serve as a connector across Student Life, Athletics, and Diversity departments, helping align communication, timelines, and operational priorities. Skills Advanced proficiency in Microsoft Office applications (Word, Excel, Outlook) Excellent written and verbal communication skills, including the ability to draft, edit, and proofread executive-level correspondence. Demonstrated experience taking accurate and confidential meeting minutes, including leadership, student-related, and board meetings. Strong organizational, project management, and problem-solving skills. Ability to manage multiple priorities with accuracy in a fast-paced, deadline-driven environment. High level of discretion, judgment, and professionalism in handling sensitive information. Exceptional interpersonal and customer service skills, demonstrated through a gracious, service-oriented approach. Understanding of business office procedures and basic bookkeeping functions. Physical Demands Requires repetitive motions and sitting at computer keyboard; intermittent sitting and standing. Hearing and speaking on the telephone. Able to conduct business at other offices on campus. Able to lift, bend, grasp, reach, lift up to 20 lbs. occasionally. Visual Demands Reading, writing notes, and computer monitor. Environment Pleasant office, comfortable temperature. Technologies Proficient in Google Apps., Microsoft Office, Word, Excel and mass email programs, and social media programs. Compensation Grade 10: $25.94 to $29.83 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
