Full-Time Position Overview A high-profile Beverly Hills facial plastic surgery practice is seeking an exceptionally polished, proactive, and detail-oriented Executive Personal Assistant to support a busy physician in a fast-paced luxury medical environment. This role requires a candidate who thrives under pressure, anticipates needs before they arise, and maintains the highest level of professionalism, discretion, and organization at all times. The ideal candidate is resourceful, highly communicative, creative, service-oriented, and capable of managing both executive and administrative responsibilities seamlessly. The Executive Personal Assistant will serve as a key point of coordination for the physician's daily operations, helping ensure efficiency, organization, and an elevated patient and client experience. Responsibilities Manage and coordinate the physician's complex calendar, including appointments, meetings, personal commitments, and travel arrangements with careful attention to timing and prioritization. Serve as a liaison between the physician, staff, patients, vendors, and outside contacts while maintaining professionalism and confidentiality. Assist with preparation, organization, and management of confidential documents, reports, presentations, and correspondence. Monitor and respond to calls, emails, and communications in a timely and professional manner. Maintain organization and secure storage of all physician's car-related documents and paperwork. Coordinate meetings, events, travel logistics, and follow-up tasks as needed. Maintain organized digital and physical filing systems, records, and office documentation. Assist with research projects, vendor coordination, and special administrative projects. Track expenses, reconcile receipts, and assist with billing and administrative reporting. Support overall office operations, including supply management, organization, and maintaining a polished office environment. Anticipate needs proactively and provide high-level executive support in both professional and day-to-day operations. Qualifications Previous experience as an Executive Assistant or Personal Assistant, preferably within a luxury medical, aesthetics, concierge, or healthcare setting. Exceptional organizational and multitasking abilities with strong attention to detail. Strong communication and interpersonal skills with a polished and professional demeanor. Ability to maintain strict confidentiality and handle sensitive information with discretion. Comfortable working in a fast-paced, high-expectation environment. Proficient with office software, scheduling platforms, and EMR systems. Resourceful, dependable, adaptable, and solution-oriented. Strong note-taking and follow-through skills are essential. Knowledge of medical terminology or cosmetic/plastic surgery environments is a plus.
