Position Overview Seeking a detail-oriented and proactive Executive Assistant to support a growing financial advisory practice. This role plays a critical part in ensuring a seamless client experience, maintaining efficient internal workflows, and supporting the advisor(s) in delivering high-quality financial planning and investment services. The ideal candidate is highly organized, detail-oriented, exercises sound judgment and discretion, and can manage multiple priorities in a fast-paced environment. Key Responsibilities Administrative Support Manage the advisor's calendars, including scheduling meetings, appointments, and travel Coordinate internal and external meetings; prepare agendas and capture meeting notes Screen calls, emails, and correspondence, responding or escalating as appropriate Prepare reports, presentations, and briefing materials Client Service & Relationship Support Serve as a point of contact for client service and operational requests Prepare and process client paperwork with accuracy and timeliness Assist in meeting preparation, including generating reports and client-ready materials Maintain client records and ensure data accuracy in CRM systems Communication & Coordination Act as a liaison between advisors, clients, and internal/external stakeholders Draft, review, and edit correspondence and communications Coordinate projects and follow up on deliverables and deadlines Support special projects, research, and data analysis Assist with planning events, client meetings, and firm offsites Advisor & Business Support Support advisor(s) with scheduling, meeting logistics, and follow-ups Assist with reporting, performance summaries, and portfolio documentation Track key business metrics and assist with operational reporting Support implementation of new tools, systems, and technology Confidentiality & Discretion Handle sensitive information with a high level of confidentiality Maintain professionalism and discretion in all interactions Qualifications Required Bachelor's degree or equivalent experience 1-3+ years of experience in an operations or assistant-type role Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Strong organizational and time-management skills Excellent written and verbal communication skills Core Competencies Strong attention to detail Ability to multitask and prioritize effectively Problem-solving and critical thinking skills Interpersonal skills and professionalism Adaptability and initiative Compensation & Growth Part-time $25.00/ hourly Flexible in-office position in San Francisco.
