Job Description

Job Overview We are seeking a highly organized and proactive Bilingual (English/Spanish) Executive Administrative Superintendent/Business Office (Confidential Position) to provide comprehensive administrative support to senior leadership and oversee the efficient operation of the Superintendent an business office. This vital role requires a dynamic individual capable of managing complex schedules, coordinating projects, and handling sensitive information with discretion. The successful candidate will be instrumental in ensuring smooth daily operations, facilitating communication across departments, and supporting strategic initiatives with precision and professionalism. Responsibilities include but are not limited to: Manage and maintain executive calendars, scheduling meetings, appointments, and events with attention to detail using Microsoft Outlook Calendar of Superintendent as needed. Bilingual (English/Spanish): Can read, write, speak and translate documents. Provide high-level administrative support including typing, proofreading, transcription, data entry, and filing to ensure accuracy and efficiency. Coordinate projects across departments by tracking deadlines, preparing reports, and facilitating communication among team staff. Handle all aspects of office management such as overseeing supplies, maintaining filing systems, managing front desk duties, and ensuring the office environment runs smoothly. Utilize district financial system for bookkeeping tasks including invoicing, expense tracking, and financial record keeping. Manage district office phone etiquette on multi-line phone systems, screening calls, and responding to inquiries professionally. Prepare documents for signatures hard copy, via DocuSign or similar electronic signature platforms while maintaining confidentiality of sensitive information. Create board agenda for each board meeting and take minutes of each board meeting. Proven experience in executive administrative support or office management roles with a strong background in clerical tasks. Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), and/or Google Workspace applications, and data entry tools. Compile and type letters, forms, reports, contracts, respond to inquiries, communicate with agencies, prepare instructional calendars, and a district calendar of activities. Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong typing skills coupled with excellent proofreading and transcription abilities to produce error-free documents. Familiarity with multi-line phone systems, calendar management tools like Microsoft Outlook Calendar, and electronic signature platforms such as DocuSign. Excellent communication skills with professional phone etiquette and customer service orientation. Ability to handle confidential information discreetly while maintaining a high level of professionalism. Other tasks as assigned.
