Mystique Medical Spa Executive Assistant to CEO (On-Site)
Location:
Fresno, CA (On-Site) Be the Right Hand Behind a Fast-Moving Leader. Mystique Medical Spa is a well-established medical aesthetic practice in Fresno, CA, built on integrity, safety, education, outstanding customer service, growth, teamwork, and fun. We are looking for a highly organized, discreet, proactive Executive Assistant to support a busy executive who manages multiple businesses, including a medical spa, urgent care, consulting work, and related business operations. This role is ideal for someone who is trustworthy, polished, fast-moving, detail-oriented, and able to stay one step ahead. The Executive Assistant will help manage email, calendars, meetings, tasks, research, follow-ups, personal and professional errands, and special projects. This person must be comfortable handling confidential information, shifting priorities quickly, and supporting both business and occasional personal needs with professionalism and discretion. Key Responsibilities Manage executive email inboxes, calendars, scheduling, meeting coordination, and follow-up tasks. Sort, flag, respond to, and organize emails that require attention. Schedule and approve meetings, resolve calendar conflicts, and coordinate personal and professional calendars. Maintain follow-up calendars to ensure open loops do not fall through the cracks. Prepare documents, information, reports, metrics, research, and notes before meetings. Take meeting notes, document action items, organize next steps, and send post-meeting follow-ups. Track, input, review, and close out tasks using Monday.com or similar project/task management tools. Support business operations, leadership, team communication, and project coordination. Conduct research, pull data, organize information, and help the executive make faster decisions. Provide occasional administrative support for personal scheduling (e.g., appointments, reservations) in a professional capacity. Help intercept questions and requests from internal teams, vendors, facilities, reps, accounting, and leadership. Assist with front desk backup, gift certificates, documentation, and other duties as needed. Protect confidential information, passwords, accounts, financial information, and personal matters with the highest level of discretion. Qualifications 5-7 years of executive assistant, personal assistant, administrative support, or similar experience preferred. Experience supporting a business owner, executive, entrepreneur, medical practice leader, or multi-company operator strongly preferred. High level of discretion, confidentiality, trustworthiness, and professionalism required. Strong organizational skills and ability to manage multiple priorities at a fast pace. Excellent attention to detail and follow-through. Strong written and verbal communication skills. Ability to take direction well while also thinking ahead and anticipating needs. Comfortable observing, listening, taking notes, and knowing when to speak up or follow up later. Tech-savvy and comfortable with email, calendars, documents, task management tools, and research. Experience with Monday.com or similar systems is a plus. Valid driver's license and clean driving record required. Bilingual English/Spanish is a plus. Role requires handling confidential information; a standard confidentiality agreement will be required."
Pay and Benefits Job Type:
Full-Time, W-2
Employment Pay:
$21-$26 per hour, depending on experience. Health insurance, dental, and vision insurance are available. Employer pays 50% of employee coverage; employee is responsible for additional family member coverage. 401(k) with company match up to half of 10%. Typical schedule:
