JOB DESCRIPTION
The Executive Assistant provides critical administrative support to the executive team at IAS, including the General Manager and the Director of Development. Interpersonal skills must be sharp, with the ability to build trust and reliability amid the fast-paced, ever-changing dynamics of a small business. In addition to basic administrative duties such as data entry, filing, and scheduling, this position ensures that business development, operational, and office management are carried out effectively and efficiently. This position manages non-routine correspondence and prepares and coordinates highly confidential and sensitive information with professionalism and discretion. The role also oversees organizational document management and file structure administration, ensuring that contracts, customer records, and operational documentation are accurately completed, properly filed, and maintained. The role serves as a key point of contact for a diverse range of internal stakeholders at all levels of the organization, requiring strong interpersonal skills and the ability to build and maintain professional relationships. Success in this position requires sound independent judgment to effectively plan, prioritize, and manage a dynamic and diverse workload. The ideal candidate demonstrates confidence, initiative, and exceptional verbal and written communication skills when interacting with executives, staff, and other professional contacts.
JOB RESPONSIBILITIES
Essential Functions Schedules and organizes the executive calendars, as well as organizes/prepares the executive team for meetings, travel, conferences, and department activities as needed. Assist the General Manager and Director of Development with various administrative duties, including permit projects, preparing documents, researching and tracking development projects, etc. Acts as a liaison with other departments and outside agencies. Handles confidential and non-routine information Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects at the request of the general manager or director of development. Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads for spelling, grammar, and layout, making appropriate changes. Provide support to internal departments to reach deadlines, as needed. Managed organizational documentation processes, including contract tracking, customer onboarding records, file organization, document audits, and maintenance of accurate business records.
QUALIFICATIONS & EDUCATION REQUIREMENTS
2+ years of relevant experience An understanding of basic Accounting Effective communicator Excellent organization and time management skills Proficiency in standard business software and document management practices, with the ability to maintain organized records, track documentation, and ensure data accuracy. Proven and uncompromising integrity Collaboration skills and the ability to multitask. Self-motivated Commitment to accuracy, attention to detail, and follow-through Confidentiality Advanced skills in Microsoft Office
