contract We are seeking an experienced Executive Assistant to support a high-level C-suite executive in a fast-paced, professional office environment. This role is ideal for someone who has supported senior executives such as a CEO, COO, EVP, President, or similar leadership level. The Executive Assistant will manage complex calendars , coordinate meetings , prepare materials, handle travel and expenses , and serve as a key point of contact for the executive office. This position requires strong organization, discretion, professionalism, and the ability to manage changing priorities with confidence. Responsibilities Manage a complex and shifting executive calendar , including scheduling meetings, resolving conflicts and prioritizing urgent items Coordinate domestic and international travel, including flights, hotels, ground transportation, visas, agendas, and related logistics Prepare meeting agendas, briefing materials, presentations, and follow-up trackers Capture action items and help drive follow-up after executive meetings Process expense reports and support travel and expense documentation Serve as a professional point of contact for internal executives, board members, customers, and external partners Partner with other executive assistants, Finance, HR and leadership teams to coordinate meetings, events, town halls, site visits, and special projects Maintain confidentiality while handling sensitive information and executive-level communications Support daily priorities by reviewing calendars, triaging emails, and ensuring key logistics are in place Qualifications 5+ years of executive administrative experience supporting C-suite or senior-level executives Experience supporting executives in a global, matrixed organization preferred Strong Microsoft Office 365 skills , including Outlook, Teams, PowerPoint, Excel, and Word Experience with Concur, SAP or similar travel and expense systems preferred Ability to manage competing priorities, anticipate needs, and stay organized in a fast-moving environment Strong written and verbal communication skills Polished, professional presence when interacting with senior leaders, board members, customers, and external partners Associate's or Bachelor's degree preferred, or equivalent executive administrative experience Life sciences, biotech, diagnostics, manufacturing, or global corporate experience is a plus Job Disclaimer Equal Opportunity Employer/Veterans/Disabled Benefit offerings include medical, dental, vision, term life insurance, short-term disability insurance, additional voluntary benefits, commuter benefits and 401K plan.
